We are seeking a dynamic and experienced Executive Assistant to provide high-level administrative support to our Vice Chancellor in the Office of Opportunity & Outreach. This individual will also provide auxiliary administrative support to department Assistant and Associate Vice Chancellors and their respective units. The role involves overseeing special projects or assignments that are highly sensitive or complex in nature, requiring a high level of independence and initiative in execution and implementation.

Responsibilities:

The Executive Assistant will manage a wide range of administrative and executive support-related tasks involving the coordination of operational efforts within the department. This includes managing the executive’s calendar, scheduling appointments, and coordinating travel arrangements. The position also involves preparing and editing correspondence, communications, presentations, and other documents, as well as filing and retrieving documents and reference materials. The incumbent will also conduct research, assemble and analyze data to prepare reports and documents, and manage and maintain the executive’s schedule, appointments, and travel arrangements.

The Executive Assistant will also provide support for initiatives and special projects, including special events and planning. The incumbent will serve as a key liaison with the Chancellor’s Office, Deans’ offices, other campus administrators, faculty, staff, students, representatives of other campuses, UC Office of the President, and members of the public on a wide range of issues.

Qualifications:

The ideal candidate holds a Bachelor’s degree in related areas and/or equivalent experience/training. They must have 5+ years of progressively responsible executive-level assistant experience, and the ability to perform increasingly challenging administrative tasks within a complex organization with minimal supervision.

The candidate must have broad knowledge of UCSF Health operations, be politically astute, and organizationally savvy to confidently represent Administration. They must demonstrate the ability to be proactive; apply and implement creative solutions to complex problems.

Proficiency in PC Microsoft Word, EXCEL, PowerPoint Outlook, and Visio is essential. Advanced knowledge of the organization’s processes, protocols, and procedures, and knowledge of federal regulations such as FERPA is required.

The candidate must have strong analytical/problem-solving skills, advanced service orientation, and strong skills to communicate and influence effectively with all levels of staff, faculty, alumni/donors, students, and external constituents, both verbally and in writing. They must also possess advising and counseling skills, the ability to multi-task with demanding time frames, and the ability to use a high level of discretion and maintain all confidentiality.

Knowledge of medical centers, campus or other academic medical center settings is preferred. The candidate must be well-versed in how UCSF is structured, have a high degree of political acumen, and be able to manage highly sensitive situations without advance notice.
