Summary

The Administrative Assistant position will comply with the following performance criteria:

Assist and communicate pertinent care management information (denials, Medicaid issues, etc.)
Communicate and record minutes for Care Management meetings.
Establish working relationships and customer service characterized by professionalism and dedication to the goals of Chesapeake Regional Medical Center.
Responsible for secretarial functions of the departments, including typing of reports, policies and procedures, meeting minutes, attendance schedules, and any correspondence. All completed within 1 – 2 days or as requested. Finished copy will be in neat form without spelling or typographical errors.
Types agendas, meeting notices and meeting materials, minutes for meetings and committees as requested. Contacts physician members on day prior as a reminder. Mails meeting notices on week prior to meetings. Attends meetings as requested to take minutes. Submits draft of minutes within 1 – 2 days.
Delivers written phone or voice mail messages promptly and include caller’s name, date, time of call, phone number and message. Screens calls and messages and handles according to degree of urgency whether implied or stated.
Copies and distributes VPS reports to staff on daily basis.
Distributes denial information to the appropriate Payor Specialist and requests copies of charts.
Types any denial letters requested by the Care Manager and distributes copies needed to the appropriate departments.
Maintains filing for indigent meds, variance and distributions reports, supplies, CPS and APS letters.
Files are maintained, without error, in a concurrent manner.
Maintains records and handles billing for Medicaid Nursing Home Pre-Admission screenings.
Responsible for checking reimbursement from Medicaid, keeping log of all patients for whom a screening is completed and mailed to Richmond.
Responsible for maintaining adequate supply of all necessary state, federal and local forms necessary for Virginia and North Carolina screenings, etc.
Maintains and submits Time and Attendance for Care Management, PT/Patient Safety, Risk Management, Accreditation and Infection Control.

Responsibilities

Must exhibit strong, courteous communication skills – verbal and written – and exercise good judgment in performance of job duties.
Required to maintain confidentiality within and outside of the departments at all times.
Maintains a positive and professional public image and attitude consistently. Answers the telephone in a courteous manner, screening calls tactfully and relaying messages according to degree of urgency.
Must have capability to work on various tasks simultaneously in a fast-paced environment.
Must be able to work with minimal supervision in an atmosphere with diverse individuals and organizations.
Prioritizes workload and ensures back-up coverage if needed.
Keeps resource information current, i.e. telephone and fax numbers for all resources used by the departments.

Education and Experience

Education: High School Diploma or equivalent required

Minimum of three years’ experience required.

Medical terminology class or professional experience required.

Must be able to type 55+ words per minute

Courses in typing, computer software and office procedures required

Must have proven work record with computer applications.

Must be proficient with Microsoft Office products.

Previous experience in healthcare preferred.
