您的任务 :

This position will report directly to the Senior Vice President of APAC & China. He/She is a point of contact for all internal and external communication and ensures the organization of his/her Director's agenda, team management and projects.

Administration, Agenda & Team planning, Team travel

  • Handle general admin. Provide personal admin support, including expats Prepare or modify presentations on behalf of their Executive Manager.
  • Handle agenda management according to priorities. Create and update transverse (inter-departmental) global planning (manager and team). Keeps the monthly/annual working schedule of all regular departmental meetings (authority to adjust as necessary).
  • Manage extensive travel for direct manager, 3rd parties or VIP groups. Manage the end-to-end logistics for 3rd parties’ travels (Visa application(s) or renewal(s), travel agenda, invitation letter if needed). Oversee carefully the application of company travel policies for Direct Manager and team.
  • Handle all office management (office space, IT, stationery,etc.).

Business/ department related activities

Autonomously run end-to-end projects (in close collaboration with manager) ie. Annual seminar.

Internal & External meeting coordination

  • Schedule, Organize and Attend departmental meetings (agenda, presentations, timekeeper, minutes distribution & cascading). Prepare and dismantle the meeting room, caterers, IT requirements, etc.) for both internal and external meetings.
  • Manage from A-Z seminar organization (venue location, budget, payment, agenda, guest travel, employees registration etc.).

Communication

  • Accountable to create internal content (OneCeva, departmental reports, external comm according to dept activity, etc.).

您的简历:

  • Bachelor’s degree in Business Administration, Management, or a related field
  • 3–5 years of experience in administrative support, executive assistance, or office coordination
  • Fluency in English (spoken and written); additional languages may be a plus, especially in multinational environments
  • Strong project management skills with proven ability to run end-to-end initiatives independently
  • Excellent organizational and multitasking abilities to manage agendas, meetings, and travel logistics
  • Proficiency in Microsoft Office Suite (PowerPoint, Excel, Outlook, Word) and other collaboration tools (e.g., Teams, SharePoint)
