Role Overview:

Abrivia recruitment have a new opportunity for a driven and ambitious Executive Assistant to join the risk and compliance department of our client in south Dublin. The successful candidate will be an integral part of the team, supporting key executives and contributing to the smooth operation of their departments. Your role demands precision, adaptability, and a proactive approach to handling various responsibilities. From assisting with board meetings to managing administrative tasks, you’ll play a crucial role in maintaining operational efficiency.

Key Responsibilities:

Collaborate with cross-functional teams to prepare and deliver board and committee papers.

Attend and meticulously document minutes of board and committee meetings.

Maintain schedules, action logs, and follow up on assigned tasks to ensure timely completion.

Provide administrative support, including editing documents and managing contracts.

Track departmental spending against budget and generate reports as needed.

Support departmental projects and initiatives, demonstrating flexibility and initiative.

Manage file systems, both physical and digital, ensuring organizational efficiency.

Adhere to departmental processes and identify opportunities for improvement.

Requirements:

Minimum 5 years of experience as an Executive Assistant or Personal Assistant.

Proficiency in MS Office, particularly Word, PowerPoint, and Excel, is essential.

Strong typing skills and experience taking minutes.

Excellent organizational and time management abilities, with a focus on meeting deadlines.

Exceptional interpersonal and communication skills, with the ability to engage with internal and external stakeholders.

Proactive mindset, capable of working independently and taking initiative.

High attention to detail and discretion when handling confidential information.

Previous experience in a regulated financial services organization is advantageous.
