Kelly Services is currently recruiting for a full time permanent Executive Assistant for a client in Mississauga, Ontario
Monday to Friday ON SITE ROLE
This role will report to the CEO and provides high-level administrative support to the company.
Responsibilities
Executive Assistant:
· Coordinate and schedule meetings, appointments, and events for the CEO and certain senior level Executives, both internally and externally
· Prepare and review documents, presentations, reports, and agendas for the CEO
· Handle phone calls, emails, and other communications on behalf of the CEO, and filter them as needed
· Arrange and book travel itineraries, accommodations, and transportation for the CEO and other Senior level Executives
· Maintain and update the CEO’s contact list, calendar, and filing system
· Act as a liaison between the CEO and other executives, staff, clients, and stakeholders
· Conduct research, analysis, and data entry as assigned by the CEO
· Handle confidential and sensitive information with discretion and integrity
· Perform other administrative and clerical duties as needed
· Collaborate with external IT consultants for IT-related matters, including troubleshooting, system upgrades, and software implementation
· Oversee the maintenance and repair of office equipment, including computers, printers, and telephones
Human Resources:
Oversee the organization and planning of office events, such as conferences, workshops, celebrations, and training sessions
Oversee onboarding, offboarding, and the orientation process for new hires to ensure a smooth transition into the organization
Coordinate recruitment activities, including job postings, resume screening, scheduling interviews, and conducting reference checks to support staffing needs
Develop and implement policies and procedures to ensure compliance with legal requirements
Support employee relations by addressing conflicts, and performance issues in a fair and professional manner, alongside external HR consultants
Maintain employee records and HR databases to ensure accuracy and confidentiality of information
Participate in, and help coordinate, staff events to encourage a positive culture and bring the corporate values to life (team days, monthly team meetings)
Assist with training and development initiatives to enhance employee skills and performance
Foster and contribute to a positive company culture
Qualifications
Bachelor’s degree in business administration, engineering, or communications
At least 3 years of experience as an executive assistant, personal assistant, or a similar role
Proficient in Microsoft Office and other relevant software and tools
Excellent verbal and written communication skills
Strong organizational, time management, and problem-solving skills
Ability to work independently and collaboratively, and handle multiple tasks and deadlines
High level of professionalism, discretion, and confidentiality
Attention to detail and accuracy
Flexibility and adaptability to changing priorities and demands
Knowledge of the company’s industry, products, and services
