Job Overview:

The Executive Assistant assist with day-to-day functions, including administrative functions (organizing and scheduling of meetings and calendar functions, travel, expense reporting, filing, and other administrative responsibilities) as well as the preparation, compilation and analysis of business reports. Must be an overall self-starter and team player with proven administrative and multi-tasking skills.

Responsibilities:

Prepare, compile and analyze business reports, including daily data and informational input

Spreadsheet presentation and/or compilation for Executive Board Meetings

Document printing and preparation for meetings; anticipate upcoming executive meetings and prepare materials as needed in advance

Board of Director preparations by period and quarter using PDF, Excel, Word and PowerPoint (if applicable)

Departmental interface – working with Corporate departments, including IT, to ensure systems and software are functioning as expected

Sort and distribute incoming mail and deliveries as necessary

Manage executive calendars, including setting up meetings in Webex, Zoom, Reservation System, Office HD

Receive and return phone calls from customers and business partners, take messages for executives

Preparation of expense reports

Travel arrangements

Research and propose process improvements for manual processes

Independently write brief letters of acknowledgement, thanks, or other routine correspondence

Order supplies for department

Daily filing and organization, photocopying, scanning & faxing

Assume other support functions for executives as required

Qualifications:

Self-Starter, multi-tasking ability

High level of administrative/organizational skills with demonstrated accuracy

3 to 5 years’ administrative experience with strong reporting and Excel skills and analytical capabilities

Highly organized, able to prioritize, & work independently as well as in a team environment

Ability to communicate effectively & professionally with individuals at all levels (written/orally)

Ability to manage and balance multiple executive needs

Excellent interpersonal and customer service skills

Exercise discretion and maintain confidentiality

High proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and Internet.
