We’re Hiring: Executive Assistant

We are currently seeking an Executive Assistant 4 to join the dynamic team at.

✅ The ideal candidate:

Has 1+ years of experience in administrative roles, supporting senior executives and managing complex schedules and projects

Possesses a positive, can-do attitude and a willingness to take initiative

Demonstrates exceptional organizational skills and attention to detail

Is able to manage multiple tasks and priorities in a fast-paced, ever-changing environment

Has strong communication skills, both written and interpersonal

Works well under pressure and can efficiently coordinate with diverse teams

Is proactive, team-oriented, and adaptable to shifting priorities

Proficient in MS Office and other office management tools; strong PC operating skills

Medium-level English (B1–B2); additional languages are a plus

Key responsibilities:

Manage and maintain executive calendars, handling complex scheduling and travel arrangements

Organize departmental communications, meetings, and key events

Assist in various strategic projects, including mergers and acquisitions, venture investments, and partnerships

Coordinate and schedule group meetings, team-building events, and quarterly all-hands meetings

Compile and publish weekly senior staff minutes and group updates

Maintain up-to-date organizational charts, contact lists, and email alias lists

Assist with travel coordination for staff and support scheduling of job candidate interviews

Handle forms such as expense reports, employment requisitions, contractor time cards, and other administrative requests

Ensure smooth office operations by managing supplies, equipment, and audio-visual needs for meetings

Manage purchase orders, working with vendors and project managers to ensure timely billing and project scope changes

Follow company policies and utilize the Contracts Management system for departmental purchases
