Full Job Description

The Executive Assistant provides administrative support to the CEO and provides staff services to the Board of Directors. This position facilitates and coordinates organizational development and strategic planning activities for and with the CEO and Senior Leadership Team, coordinates internal and external communications for the CEO and Senior Leadership Team, represents the organization to all internal and external stakeholders, and coordinates public relations on behalf of the CEO and organization.

primary Responsibilities:

Provides staff services to Board of Directors including scheduling and preparation for meetings, retreats, and board minutes.

Coordinates internal and external communications in conjunction with the CEO and Senior Leadership Team.

Provides administrative support to CEO including calendar maintenance and assisting the organization in absence of CEO.

Represents organization to stakeholders, internal and external.

Works collaboratively with Senior Leadership Team and Board Members.

Schedules meetings and conferences for the CEO and Senior Leadership Team, including the selection and scheduling of facilities.

Attends meetings and conferences on behalf of CEO as requested.

Tracks and maintains direct external and internal communications on behalf of the CEO.

Schedules and coordinates all business travel arrangements for CEO and Senior Leadership Team upon request.

Verifies and reconciles all business and travel expenses for the CEO.

Maintains systems and management for administrative records and corporate documents.

Draft, edit, and prepare reports, presentations, and correspondence.

Arrange and set up meetings, ensuring that all necessary materials are prepared in advance.

Participates in regularly scheduled team meetings.

Take on special projects, often managing them from inception to completion.

Remains compliant with required trainings and certifications.

Behaves in an ethical and professional manner consistent with agency policy, state law, and licensing entities if applicable.

Understands and practices safekeeping of client protected health information per Evergreen Recovery Center’s HIPAA and other agency policies and procedures.

Demonstrates respect for diversity and a commitment to developing multicultural competency and sensitivity.

Other duties as assigned by supervisor.

ESSENTIAL SKILLS AND ABILITIES:

Demonstrated knowledge of public relations, employee relations, administrative support, group facilitation, coordination, and project management.

Demonstrated knowledge of administrative level related laws, regulations, and requirements.

Demonstrated knowledge of organizational development and strategic planning principles.

Ability to maintain a high level of confidentiality.

Ability to work with varying work styles.

Ability to multitask and prioritize within a fast-paced environment and participate in effective work teams.

Ability to work independently, providing critical information to key stakeholders.

Ability to maintain a positive, solution-focused demeanor when responding to conflicts or problems.

Demonstrated organizational skills with an emphasis on attention to detail.

Excellent communication skills, written and verbal.

Proficient with Microsoft Office suite.
