Job Summary:

We are seeking an Executive Assistant who combines high organizational skills and proactivity to support our CEO and executive team efficiently.

This pivotal role involves managing schedules, coordinating travel arrangements, and handling a broad spectrum of administrative and personal tasks. The perfect candidate will be good at solving problems, great at communicating, and attentive to details, with experience in office and management support.

Flexibility and confidentiality are crucial, as the Executive Assistant will be responsible for handling sensitive information and must adjust to the changing demands of the executive environment.

This position is key to allowing our CEO to concentrate on strategic tasks by ensuring daily operations run smoothly with professionalism and discretion.

Key Responsibilities:

1. Administrative Support:

Efficiently manage and maintain the executive’s schedule and appointments to optimize their time.

Coordinate and schedule meetings, focusing on effective communication and logistical planning.

Prepare and organize documents, reports, and presentations.

Gather presentations for the executive committee and consolidate them.

2. Travel Management:

Plan and book travel arrangements, including flights, accommodations, and transportation, focusing on efficiency and cost-effectiveness.

Make detailed travel plans and make sure everything needed for the trip is taken care of.

3. Confidentiality:

Handle sensitive and confidential information with the utmost discretion and professionalism.

4. Communication:

Act as a point of contact between the executive and external parties, ensuring clear and effective communication.

Requirements:

Demonstrated experience in an Executive Assistant role, with a history of supporting CEO and executives.

Outstanding organizational and time management abilities, with a proven ability to handle multiple tasks simultaneously.

Excellent communication abilities, including both writing and speaking, and strong skills in building relationships.

A high degree of discretion and professionalism when handling sensitive or confidential information.

Proficient in using Microsoft Office applications (Word, Excel, PowerPoint, Outlook).

Fluent in both English and French.
