Our client is seeking a highly organized and polished Executive Assistant to support the Senior Vice President, Digital Media, along with three direct-report Vice Presidents. This is a demanding, fast-paced role requiring strong executive presence, sound judgment, discretion, and exceptional organizational skills. The position provides comprehensive administrative and project coordination support within a high-visibility leadership environment.

- Hours:
9:00 AM – 6:00 PM
- Location:
New York, NY 10013
- Pay Rate: $36-$38/hr (Depending on Experience)
- Non-Exempt (Eligible for OT with approval)
Responsibilities:
- Provide executive-level administrative support including calendar management, travel coordination, expense reports, supplies, filing, and general business operations
- Manage complex scheduling across internal and external stakeholders
- Coordinate in-person and virtual meetings (ensure rooms, technology, and attendees are prepared)
- Monitor and prioritize information flow; anticipate scheduling conflicts and adjust proactively
- Handle high-volume communication (phone, email, text, Teams) across all executive levels
- Exercise judgment when handling inquiries and sensitive matters
- Maintain strict confidentiality with highly sensitive information
- Plan and execute team meetings, offsites, and events (vendors, catering, AV, logistics)
- Create and manage systems for organizing presentations, analysis, and department materials
- Prepare and coordinate cross-functional agendas and meeting materials
- Provide light presentation support (PowerPoint/Keynote)
- Track and proactively report on project progress
Required Qualifications:
- BA/BS from an accredited college or university
- Minimum 3 years supporting executive-level leadership
- Proven experience managing confidential and sensitive information
- Advanced Microsoft Office skills (Teams, Outlook, Word, Excel, PowerPoint)
- Strong written and verbal communication skills
- Excellent interpersonal skills with ability to interact across all leadership levels
- Highly organized, detail-oriented, and proactive
- Strong judgment and problem-solving skills
- Exceptional time management skills with ability to manage multiple priorities in a high-volume environment
- Comfortable exploring new tools and technologies (including AI tools such as Copilot)
