They are currently seeking an Executive Assistant for immediate hiring, reporting to the President.
CEO & President Support
Provides a broad variety of administrative assistance, such as expense reports, writing and editing e-mails,composing, and preparing correspondence that at times could be high confidential such as letters, memos, agendas, as well as drafting communications (internal or external) on behalf of the CEO & President.
Assist in preparing and managing all reports, presentations, communications, and decks.
Organize and prepare the CEO & President for meetings, including gathering documents and attending to logistics of meetings.
Act as a “gatekeeper” to the CEO & President including screening of incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls or visits to the appropriate staff. In addition, act as a “gateway” to the CEO & President, to create a win/win situation for direct access to the CEO & President’s time and office, while at the same time protecting the CEO & President’s desired order of scheduling importance.
Communicates directly with and on/behalf of the CEO & President with Leadership Team, as needed.
Provides a bridge for smooth communication between the CEO & President ‘s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff and employees.
Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer,” having a sense for the issues taking place in the environment and keeping him updated.
Manage the CEO & President’s calendar both personally and professionally, including making appointments and prioritizing the most sensitive matters.
Welcome the CEO & President’s guests by greeting them, in person or on the phone; answering or directing inquiries.
Coordinate and arrange travel arrangements including accommodation, events, meetings – both internallyand externally.
Manage all matters, communication, documents, and issues, with good judgement, a high level of confidentiality and discretion.
Conserve the CEO & President’s time by reading, researching, collecting and analyzing information as needed, in advance.
Be responsive to emails, texts, phone calls, with contact outside normal business hours.
Represent the company and the CEO & President in a positive light through great follow-through skills and sound judgment.
