As an Executive Assistant to a Realtor at Compass | Realty Austin, your primary goal is to improve productivity and efficiency while contributing to creating lifelong relationships with clients. This is a part-time position with the potential for full-time growth, and a clear pathway to becoming a licensed Realtor.

What You’ll Do

Communication & Organization

• Manage the daily calendar, schedule appointments, and coordinate client communications.

• Call and confirm visits, showings, and other appointments with clients.

• Proactively remind the agent of upcoming tasks and propose solutions for time-sensitive matters.

• Host weekly meetings to review objectives, schedules, and updates.

Client Care & Relationship Building

• Maintain and update the client database with personal details (e.g., birthdays, anniversaries).

• Manage client outreach, including sending thank-you/referral gifts and appreciation cards.

• Facilitate post-closing calls and follow-ups to ensure exceptional service.

• Plan and execute client appreciation events and seasonal gift promotions.

Marketing & Administration

• Collaborate on ongoing marketing campaigns, including farming mailers and newsletter postcards.

• Research and engage with clients on social media for birthdays and milestones.

• Prepare templated client presentations using tools like Canva or the Compass platform.

• Track and manage lockboxes, directional signs, and other inventory.

Transaction Coordination (growth opportunity upon licensing)

• Schedule closings and coordinate moving schedules.

• Review title commitments and ensure all documentation is complete.

• Provide proactive feedback to clients throughout the transaction process.

• Tech-Savvy: Comfortable using Google Workspace, Canva, Asana, Slack, and other tools to enhance efficiency.

Requirements

• High school diploma or equivalent.

• 2+ years of experience in retail, customer service, or a career-oriented field.

• A valid driver’s license and reliable vehicle.
