A leading private equity firm are urgently seeking an experienced Executive Assistant to cover a long term sick leave within their Luxembourg office.
Key Responsibilities
Manage the agenda of the Head of the Luxembourg Office.
Coordinate internal and external meetings, including scheduling, room bookings, agendas, equipment, and materials.
Arrange execution and signature of legal documents.
Handle calls, inquiries, and requests with discretion.
Organise travel and process expenses in line with company policy.
Oversee office supplies and maintain inventory.
Manage correspondence, scan/mail originals, and forward supplier invoices.
Draft and format correspondence, documents, and presentations.
Prepare reports, briefing notes, and presentation materials.
Assist with KYC documentation and requests.
Provide general administrative support to the Luxembourg team.
Perform office management and ad-hoc tasks as needed.
Skills and Experience
Previous experience in a similar role within financial services is essential
Highly organised with a keen eye for detail
Excellent communication skills, written and verbal
Available to start at short notice
