Position Overview:
We are seeking a highly motivated and experienced Executive Assistant to provide comprehensive administrative support to the President and CEO. The ideal candidate will excel in a dynamic environment, possess exceptional organizational skills, and be passionate about nonprofit work. This role requires a proactive, critical thinker who can work independently while maintaining confidentiality and professionalism.
Key Responsibilities:
Provide high-level administrative support to the CEO, including:
Managing special projects and producing complex documents, reports, and presentations.
Preparing materials for meetings with staff and partners, composing correspondence, and maintaining contact lists.
Organizing travel arrangements, tracking expenses, and completing mileage reports.
Serve as the primary point of contact for internal and external stakeholders on matters related to the CEO, including highly confidential or sensitive issues.
Prioritize inquiries, determine appropriate courses of action, and exercise sound judgment to align with organizational policies.
Anticipate the CEO’s needs for meetings and events, ensuring all preparations are complete.
Support the CEO in managing relationships with executives, employees, clients, and external partners.
Oversee calendar management by prioritizing appointments, troubleshooting conflicts, and making recommendations.
Assist in marketing and development efforts, including event planning, preparing materials, and supporting industry-related initiatives.
Track and prepare weekly, monthly, or quarterly expense reports.
Take meeting minutes and ensure follow-up actions are completed.
Leverage internal resources and teams to manage workflow and support strategic initiatives.
Handle additional duties and special projects as assigned.
Requirements
Skills and Abilities:
Strong ability to execute work with a diversity, equity, and inclusion lens.
Significant experience in executive support roles, with proficiency in Microsoft Office and desktop publishing software.
Outstanding organizational and time management skills, with the ability to adapt to shifting priorities.
Excellent verbal and written communication skills.
Discretion and ability to maintain confidentiality.
Ability to thrive in a fast-paced, self-directed environment.
Effective collaboration with cross-functional teams and diverse communities.
Education and Experience:
College degree required.
A minimum of 10 years of related experience, preferably in an executive support role within a professional services environment.
Intermediate to advanced Microsoft Office Suite skills.
Strong judgment, problem-solving, and analytical skills to manage workload effectively.
Experience handling sensitive situations with professionalism and discretion.
