Allegheny Science & Technology (AST) is seeking an Executive Assistant to support the Grid Deployment Office (GDO) within the Department of Energy. This position is 100% onsite and will support EST standard business hours (8:00 – 5:00 PM EST).

The Grid Deployment Office works to catalyze the development of new and upgraded electric infrastructure across the country by maintaining and investing in critical generation facilities; developing and upgrading high-capacity electric transmission lines nationwide; and deploying transmission and distribution infrastructure and technologies. GDO acts as a partner with states, Tribes, territories, industry, communities, and other energy sector stakeholders to deploy solutions to lower energy costs and improve grid reliability and resilience.

Duties and Responsibilities

Perform administrative actions to support to ensure the smooth functioning of the GDO organization.

Communicate with all levels of staff and other administrative and executive assistants as required; provide support and/or back-up to other administrative and executive assistants within GDO, as needed; support preparation of formal and informal correspondence, as needed; manage incoming postal mail; manage outgoing postal mail.

Provide audio and video hybrid connecting for weekly meetings.

Schedule meetings and manage associated logistics as needed; manage visitor entry processing for DOE Forrestal offices, as needed; provide escort for visitors in Forrestal; ensure all meeting room audio video equipment is available and operating, including for hybrid meetings and support/produce accompanying presentations, as needed.

Communicate with all levels of staff and other administrative and executive assistants as required.

Manage and organize records and files related on SharePoint, OneDrive, and shared drives.

Required Qualifications

Minimum Three (3) years’ experience.

Demonstrated ability to work in a fast-paced environment with senior government officials and effectively interfacing with administrative staff from the Secretary and Deputy Secretary offices.

High comfort level with multitasking and rapidly shifting priorities.

Excellent written and communication skills.

Proficiency in utilizing Microsoft 365 applications, including but not limited to Word, Excel, PowerPoint, Outlook, and Teams.

Desired Qualifications

Bachelor’s degree preferred.

Prior experience working at DOE.

Proficiency with Concur travel management solution.

Other Qualifications

U.S. citizenship is required.

Must be able to meet requirements for acquiring an HSPD-12 badge.

Multiple factors contribute to determining the final pay for a position. These include, but are not limited to, relevant work experience, skills, certifications, and competencies that align with the specific role, geographic location, educational background, and contract provisions related to labor categories specific to the position. We are committed to offering a competitive compensation package that reflects the value and expertise that each candidate brings to our team.

The pay range for this position based on full-time employment is $75,000 – $100,000.
