Job Description
DP World is seeking for an experienced Executive Assistant based in the Netherlands. This position will support our Executive Vice President (EVP) Western Europe as well as other members of the leadership team.
How You Will Contribute
Accountable for the smooth management of the EVP function, acting as “front of-house”.
Extensive and proactive diary management, managing high levels of change for the EVP and aligning with the other Executive Team members.
Management of complex national and international travel arrangements, as well as some personal travel arrangements.
Liaising with a variety of internal teams, external clients and suppliers on behalf of the EVP.
Effectively managing relationships with key stakeholders and clients.
Drafting professional and often confidential correspondence on behalf of the EVP to senior stakeholders and clients.
Write, distribute and mange essential and complex minutes and actions.
Project management and organisation of conferences, quarterly seminars and site visits.
Production and collation of presentations.
Drafting invitation letters and responses when required for events.
Booking of meeting rooms, restaurants, taxis, etc as and when required.
Expense management for the EVP.
Sourcing and managing seasonal client gifting.
Managing internal files and maintaining the confidentiality and organisation of file contents.
Provide some personal support to the EVP.
Provide proactive diary support to the some of the leadership team members, monitoring and resolving any clashes, and coordinating the coordination of more complex meetings and events.
Assist the team with diary management, setting up of meetings and calls internally and with external parties.
Support travel arrangements for the WEC Leadership team.
Deputizing team travel approvals on behalf of the EVP.
Expense management for LT members with intensive travel and no assistant.
Assistance organizing team and Executive team conferences, office broadcasts, townhall meetings, client functions, team dinners, etc.
Registering and welcoming guests to one of the cluster offices, supporting with room bookings also.
What You Will Bring
At least 5 years experience, working within a Senior Executive Support role is essential.
Excellent knowledge of Microsoft packages, particularly Power Point, Excel and Outlook for email and diary management. Knowledge of Oracle beneficial but not essential.
A self-starter attitude with highly developed communication skills to enable communication with all levels within the business and externally.
Time management/ forward thinking – demonstrated skill in anticipating and responding to shifting priorities. Flexible can-do attitude.
Fluently in English, any other languages skills such as: Dutch, French, Italian, Spanish or Portuguese will be considered as a plus.
Excellent attention to detail and organizational skills.
Comfortable with complex agendas and travel schedule, and experience working across international time zones.
Discretion in protecting confidential information.
Able to travel few times a year to assist the VP and leadership team during events or meetings.
