The Executive Assistant will support Senior Executive and will be responsible for managing their schedule and providing administrative support to manage their inbox, coordinate travel, communicate with partners on the executive’s behalf, maintain important records, and stay organized according to priorities.
Key Responsibilities
Provide administrative assistance such as: writing and sending emails on behalf of the Senior Executive, drafting memos, preparing any documents or reports necessary
Manage the Senior Executive’s schedule including: organizing and scheduling meetings, sending reminders, and making appointments according to priorities; be prepared to solve complex scheduling conflicts
Coordinating travel arrangements when needed
Managing sensitive and confidential information with high level of confidentiality and discretion
Prepare expense reports as needed
Representing the company in a professional manner
Ad-hoc projects as needed
Travel with executives as needed
Qualifications
5+ years experience as an executive assistant to a senior exec or C-level, preferably within a governmental or policy-driven environment
Bachelor’s degree in Political Science, Public Administration, Government, or related field (preferred)
Excellent organizational skills and attention to detail, with the ability to prioritize and manage multiple tasks effectively
Strong written and verbal communication skills, with the ability to interact professionally with high-level stakeholders, both inside and outside the organization
Strong understanding of the legislative process and government operations
Advanced proficiency with MS office (Word, PPT, Excel, Outlook) and G-Suite (Gmail, Google Calendar, Google Docs, Google Sheets)
Ability to communicate effectively and professionally
Ability to handle confidential information with discretion and maintain a high level of integrity
Ability to work flexible hours
Strong interpersonal skills, with a proactive and positive approach to problem-solving
Preferred Skills
Experience working directly with elected officials, government agencies, or policy executives
Familiarity with operations, legislative tracking software, or other relevant tools
Ability to work under pressure and in a high-stakes, fast-moving environment
