Our client is a fast-growing fintech company providing payment and checkout solutions for B2B marketplaces and eCommerce platforms. The team is collaborative, driven, and deeply committed to shaping the future of B2B commerce.

We are seeking an Executive Assistant to provide comprehensive executive support to the CEO and manage the day-to-day operations of the U.S. office.

This position requires a proactive individual who can handle a blend of administrative duties, office management, and HR-adjacent responsibilities.

You will be the linchpin, ensuring smooth operations, fostering a positive office environment, and supporting leadership in various capacities.

This role offers a hybrid work arrangement.

Responsibilities:

> Executive Support:

Manage the CEO’s and other key executive’s calendars, including scheduling meetings and coordinating logistics.

Track and follow up on action items from meetings.

Assist with content gathering and coordination of presentation materials.

Prepare meeting agendas, ensure pre-read materials are shared, and track follow-ups

Handle executive email correspondence, calls, and conference coordination

Coordinate domestic and international travel: flights, visas, itineraries, accommodations, transfers

Oversee expense reporting and ensure timely reimbursements and budget alignment.

> Office Management:

Oversee office logistics, ensuring a well-maintained and organized workspace.

Coordinate team travel arrangements, including booking flights and accommodations.

Plan and manage team events and welfare activities.

> People Operations Support:

Build strong relationships across the team to foster a positive culture.

Collaborate with leadership to support internal culture initiatives.

Serve as a point of contact for U.S. operations, liaising with the global team.

Requirements:

MUST: 3–5 years of experience as an Executive Assistant and/or Office Manager.

MUST: Highly organized with excellent attention to detail.

MUST: Strong interpersonal and communication skills.

MUST: Ability to handle confidential information with discretion.

MUST: Proficiency in Microsoft Office and Google Workspace.

Experience in a startup or a culturally international team is a plus.

Emotionally intelligent and able to maintain confidentiality with sensitive matters

Skilled in managing multiple priorities with precision and calm under pressure

Strong communicator and natural problem solver

Interest in growing into a People Operations or HR role.
