Little is seeking an Office Operations Coordinator or (Receptionist /Administrative Assistant) with a positive, collaborative work style for our Newport Beach, CA office.

The ideal candidate will be a highly organized professional with a service mentality. He/she will provide administrative support of a highly complex and responsible nature by interfacing regularly, comfortably, and confidently with individuals within and outside the firm. This person will serve a vital role in promoting and nurturing our office and firm-wide culture. As the first person to greet visitors (guests, clients, vendors) and new employees or candidates for employment, he/she will project a positive image and energy to others.

While Little allows for flexibility to work remotely as needed, this role will be required to be in the office 100% of the time during our normal business hours of 8:30 AM to 5:30 PM.

Primary responsibilities include:

Report directly to the Office President, while serving the entire office staff (approximately 40 people).
Orchestrate client, vendor, and in-house meetings; including catering, set up, and clean up afterwards. This includes occasionally being on site after hours.
Facilitate mentoring and educational workshops.
Maintain and organize conference rooms, shared spaces, and breakrooms, including loading and unloading dishwashers.
Coordinate internal events (celebrations, recognitions, new hires, etc.) and external events (client appreciation, community service, and conference attendance).
Assist with external communications (Blog / social media).
Facilitate logistics of travel and accommodations for out-of-town guests and employees.
Coordinate landlord requirements (campus-wide communications, employee & visitor parking, building access).
Conduct a variety of administrative & clerical duties (such as answering phones, handling distribution and shipment of packages and mail, ordering supplies, food, and beverage for events).
Providing project assistance as needed, such as plotting, assembling, or scanning drawing sets, collecting municipality project requirements, and coordinating with departments in other offices.

Ideal candidates will possess the following qualifications:

Strong interpersonal skills and the ability to build relationships with a wide variety of stakeholders.
Excellent verbal and written communication and organizational skills.
Experience working in a design firm or other professional service firm.
The ability to maintain confidentiality and act with discretion and professionalism.
The ability to easily and effectively prioritize tasks is critical.
The ability to maintain a professional attitude and high level of attention to detail and foresight.
Collaborative team-player with the ability to operate autonomously.
Strong MS Office Skills.
