Position Overview

We are seeking a highly motivated and resourceful Executive Assistant to support our CEO and help drive our growing business forward. This is a dynamic, full-time role that goes beyond traditional EA responsibilities—you’ll be at the heart of our operations, assisting with executive support, customer communications, and logistics coordination. This role is based in our Headquarters in American Canyon, CA.

Key Responsibilities:

Serve as the first point of contact by managing incoming calls with professionalism and a customer-first approach.

Provide outstanding customer support, addressing inquiries, resolving issues, and ensuring an exceptional client experience.

Oversee deliveries—receive shipments, ensure proper distribution, and maintain organization.

Manage outgoing shipments, including courier, overnight, and standard mail, ensuring timely and accurate processing.

Handle daily incoming and outgoing mail, maintaining efficiency and organization.

Maintain office operations by ordering supplies, keeping stock organized, and anticipating team needs.

Review and finalize payroll in QuickBooks, ensuring accuracy and timely processing.

Collaborate with internal teams to streamline office workflows and support day-to-day operations.

Take initiative on special projects and assist with other administrative, customer service, or logistics-related tasks as needed.

Other duties as assigned

Requirements

Related experience in an administrative, executive assistant, customer service, or similar operational role—experience in a startup or fast-paced environment is a plus.

Proficiency in office management practices and procedures.

Tech-savvy with proficiency in Microsoft Office, Google Suite, QuickBooks and other administrative tools.

Excellent organizational skills with a keen attention to detail.

Excellent verbal and written communication skills, with the ability to interact professionally with customers and team members.

Experience with phone systems and customer support is highly desirable.

Ability to multitask, prioritize tasks efficiently, and work independently in a fast-paced environment.

Dependable, punctual, and highly organized with a proactive, problem-solving mindset.

Bilingual (English/Spanish) is a plus.
