Investment banking firm seeking to hire an Executive Assistant for a Senior Manager Director and other Managing Directors located in the Chicago Office. The ideal candidate will be a mid-level EA who is able to provide high-level, and professional administrative support. Candidate must be experienced in handling a wide range of administrative and support related tasks, be able to work independently with little or no supervision and formulate decisions and execute independently with a high degree of efficiency and accuracy. Candidate must also be well organized, flexible and enjoy the administrative challenges of supporting a high profile manager. This role requires exceptional interpersonal skills and the ability to interact with staff (at all levels) while remaining flexible, proactive and resourceful.
Qualifications
Responsible for a variety of administrative tasks ranging from managing a busy and ever changing calendar, and the ability to assimilate priority email requests in your manager’s inbox
Act as gatekeeper to ensure executive’s schedule is followed and respected; liaison to maximize manager’s focus on priorities
Responsible for calendar management, requiring interaction with both internal and external executives and assistants to coordinate a variety of meetings. Skilled at coordinating complex meetings with the flexibility to adapt to rapidly changing schedules
Experience scheduling domestic and international travel; arrangement of travel schedules, itineraries and reservations across multiple time zones
Utilizes strong judgment in managing priorities of requests and escalating as necessary for resolution and/or prioritization while determining the appropriate course of action
Works closely and effectively with the banker(s) to keep them informed of upcoming commitments and responsibilities both professionally and personally
Requires cross-departmental team coordination for conference calls and meetings (being appropriately inclusive by getting to know core Evercore team)
Must be able to work under deadlines and adapt to a fast-paced environment
Demonstrates a proactive approach to problem-solving with strong decision-making capability
Handling expense reporting and other duties as necessary
Work in tandem with the team EA’s providing back-up coverage, as needed
Must have a positive attitude and exhibit a “team” mentality
Requirements:
7+ years of experience supporting senior level executives
Exceptional written and verbal communication skills, strong independent decision making ability and attention to detail
Excellent analytical, time-management and organizational skills
Highly proficient in Outlook calendar and email
Well versed on conferencing platforms Zoom and Microsoft Teams
In-office hours: 8:30am – 5:30pm or 9:00am – 6:00pm– Overtime as needed
Preferred Qualifications:
BA/BS or equivalent experience
Previous experience supporting at group head level / in the finance industry a plus
Previous banking experience preferred
Sound judgment – knowing when to escalate an issue combined with a willingness to be flexible and pragmatic when appropriate
