Job Description:

Are you interested in film and looking to break into the industry? One of Aquent’s leading Entertainment Partners is seeking an outgoing and eager Administrative Assistant to support their growing team. This person will be the first point of contact for their San Francisco based teams and will be expected to be on-site 4 days a week. This assignment will start at 12 months and does have the potential to extend and convert. If this sounds up your alley, let’s connect!

Responsibilities

Provide administrative support the Director of Talent Acquisition including calendaring and organizing meetings with internal partners

Coordinate and organize scheduling and logistics for meetings, events, speakers

Attend relevant meetings to contribute, capture actions, and ensure appropriate follow-through of action items discussed

Draft internal communications and help support the Monthly Newsletter

Develop presentations and spreadsheets, and categorize files in an organized and efficient manner

Manage the team email alias, monitor employee engagement on internal chat channels and provide supportive information and responses to employees (on a daily basis)

Preparing and supporting presentations for global

Receive and keep track of all referrals from co-workers

Preparing and tracking departmental expense reports, while adhering to company policy

Maintain department contact lists, and receive, sort and distribute incoming mail and packages

Check to make sure that our job postings are correct online and on social media;

Book international and domestic travel for Sr. Team members

Assist recruiters, hiring managers and the HR team in special projects;

Requirements

Program/project management skills

Warm and friendly, with the ability to multi-task and make quick, smart decisions on how prioritize competing needs;

Excellent teamwork and client service skills and an ability to interact effectively with all levels

Precision when working on information entry; Extremely detail oriented

Excellent ability to communicate in writing and in person

Acuity to handle confidential information

Ability to work with cross-functional teams

Gets energized by a fast paced, ever-changing environment.

A self-motivated problem-solver with a strong desire to contribute to our reputation and success;

Sharp computer skills (Google Suite and Microsoft Office), with knowledge of an ATS such as Workday

Strong Google Suite, Microsoft Office, Mailchimp and WordPress skills are required

Two years of experience in Human Resources, preferably in recruiting and/or;

Two years of work experience in customer service, sales, administration, project management, and event coordination, with an interest in a career in HR;

A college degree in Human Resources, Industrial Relations, Psychology, Sociology, Communications or a related field preferred

The target hiring compensation range for this role is $32 to $36. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
