The Role
We’re seeking an Operations Support Administrator to join our growing team. In this role, you’ll play a critical part in ensuring the operational backbone of Archive Health stays strong, supporting day-to-day activities across departments and assisting the Director of Operations with project coordination, administrative workflows, and cross-functional collaboration. You will be the go-to problem solver, scheduler, and information organizer, someone who thrives in a fast-paced environment and takes pride in keeping everything (and everyone) running on time and on track.

What You’ll Do:

Provide administrative support to the Director of Operations and other team members as needed, including managing calendars, scheduling meetings, and preparing agendas or materials.
Assist in project management tasks: track deadlines, follow up with stakeholders, coordinate deliverables, and maintain project documentation.
Monitor internal task boards and ensure progress is being made across initiatives.
Support clinic operations and team onboarding with documentation, data entry, and communications.
Maintain organized, up-to-date records across operational systems and shared drives.
Manage internal and external correspondence, responding to general inquiries and escalating when necessary.
Coordinate vendor relationships and administrative logistics (contracts, invoices, file organization, etc.).
Prepare internal reports, templates, and documentation to support department workflows.
Help coordinate internal communications, including process updates, SOP changes, or policy rollouts.
Jump in on cross-functional needs across departments — no task is too small or too big to tackle.
Provide backup support for HR, legal, finance, and provider services administration as needed.

Who You Are:

3-4 years of administrative, operational, or project coordination experience, ideally in a healthcare, startup, or professional services setting.
Highly organized with exceptional attention to detail, enjoys building and maintaining structure.
Proficient in Google Workspace, Microsoft Office, and task/project management tools (Asana, Trello, or similar).
Strong written and verbal communicator who can maintain professionalism across teams and vendors.
Able to handle multiple priorities at once, anticipate needs, and keep things moving without being micromanaged.
Fast learner who adapts quickly to new systems and is energized by variety in your day-to-day work.
Calm under pressure, solution-oriented, and extremely reliable.
Bonus: Experience supporting healthcare operations or working with distributed teams.
