ESSENTIAL DUTIES AND RESPONSIBILITIES

Serve as a notary public.
Serve as departments’ official custodian of criminal records both juvenile and adult.
Responsible for gathering, recording, storing, filing, and dissemination of all criminal records, including felony and misdemeanor arrest, juvenile arrest, and court dispositions for all cases.
Records and files citations; accident reports, files returns from court dispositions and expungements, merges police reports into the Records Management System.
Inspect police reports for accurate and complete information; enter information into computer; verify and complete information as necessary.
May be required to maintain additional Record Management Systems, enters data into computers, and generates a variety of law enforcement management system reports.
Operates National Crime Information Computer (NCIC) criminal data information systems.
May be required to dispatch information to officers in the field, and perform dispatch duties as needed.
Maintains the Uniform Crime Reports (UCR).
Provide support and assistance to police personnel, the public and other organizations/agencies regarding police records; provide information regarding police activities, operations and records to the public, department personnel and other agencies.
Perform a variety of tasks associated with maintaining accurate police records in various databases; prepare various printouts for police staff as necessary; input data regarding cases, incidents and other related matters into the computer; verify information on reports.
Collate and file a variety of reports, records, information and paperwork; participate in maintaining an up-to-date police records filing system; prepare photocopies; distribute material as appropriate; purge files.
Types and processes legal forms for court; distributes to appropriate locations
Receives cash payments, and fees from the general public for services provided by the Department such as permit fees, bond payments, accident reports, finger printing and report copies.
Prepares receipts, and maintains records for all fees collected by the Department.
Reconcile all cash reports received by the department daily.
Forwards all cash collected along with proper documentation to Municipal Court Clerk’s and City Clerks’ office daily.
Answer the telephone and direct calls; work with customers at service counter; respond to inquiries for information; distribute reports.
Perform general secretarial duties, including typing, conducting record checks, collecting and filing specific reports and other related clerical duties.
Perform other duties as assigned.

You may be assigned to other city departments to perform various tasks on an as needed basis.

GENERAL SUMMARY

To perform a variety of tasks in support of the police records function; some knowledge of modern law enforcement principles, procedures, techniques, and equipment required.

Work directly with the public and other police personnel by taking complaints and inquiries over the phone and in person.

Record, file, retrieve and assimilate a variety of data related to the effective functioning of the Police Department.

Report to and receive direction from the Administrative Services Supervisors.

Maintain close working relationships with all department staff and City staff as necessary.

SUPERVISION

General supervision is provided by the Administrative Services Supervisors.

EDUCATION

High school Diploma or GED.

EXPERIENCE

Six months of general office experience; type at a speed necessary for successful job performance.

LICENSES AND CERTIFICATES

Must have or be able to obtain a valid State of Mississippi driver’s license within 30 days after employment.

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of:

Pertinent databases and coding systems.
Modern office equipment, procedures and methods.
Pertinent federal, state and local laws, codes and regulations.
Business letter writing and basic report preparation.
English usage, spelling, grammar and punctuation.
Principles and procedures of record keeping.

Skill in:

Using computers and pertinent software to input and retrieve data.

Successfully interacting with a diverse range of people.

Ability to:

Tactfully respond to requests and inquiries from the general public.
Listen carefully, understand and follow directions.
