Responsible for managing the schedules and communications of key company executives. Duties include prioritizing emails and phone calls, gathering documents to prepare for meetings and coordinating travel arrangements.
Key Responsibilities & Accountabilities:
Coordinates the activities of the Departments and allocates work where appropriate to ensure effective utilization of resources and improve work practices.
Screens telephone calls, enquiries and requests and handle them if they do not necessarily need to be passed to the GM
Screens and follow up all incoming correspondence to the GM & management team to ensure taking appropriate action on time
Dealing with e-mails, event invites, meeting requests timely and effectively.
Managing Mail & Courier Service (Internal/External).
Coordinating schedules, Board meetings and other activities
Managing Diary & Arranging Meetings (Daily/Weekly)
Managing Conferences/Teleconferences and ensuring supporting materials for engagements are received timely
Arranging Strategy, Budget Reviews and Performance meetings/calls with overseas branches
Handling of MEC meetings, taking minutes and follow up on action points
Managing and Coordinating requests for meeting rooms booking
Meeting and greeting visitors at all levels of seniority
Collecting information, initiating communications and updating GM’s contacts
Prepare and maintain meeting material or folder
Collecting, Organizing & Printing Daily/Weekly Documents, Reports and Presentations
Travel & Related:
Obtain business trip and leave approvals for the GM
Arranging for Visa formalities for NBK guests from Kuwait and other IBG locations
Handling GM’s & management team travel plans, Booking of Tickets, Hotel Accommodation, Transportation
Handling of Driver’s schedule and arranging advise with travel details/appointment venues
Handling overseas GM’s arrangements (entry visas, hotel reservations, car rental, airport transfers, meet & assist
Handling staff travel plans, Booking of Tickets, Hotel Accommodation, Transportation
Handling of travel and meeting related reimbursements
Other Duties
Checking Hotel/Car Rental bills and coordinating with Financial Control for payment
Assisting overseas GMs during their stay in Kuwait on different requests/inquiries
Organizing events, engagements, business lunch/dinner for CEO and IBG Management
Qualifications
University degree
Minimum 5 years C-suite level as Executive Assistant
