We are currently seeking an exceptional Executive Assistant to support a US-based company remotely. In this role, you will be responsible for providing comprehensive administrative support to executives, ensuring that their operations run smoothly and efficiently.

Responsibilities

Customer & Partner Communications:

Manage inquiries via email and direct messaging using Manychat & Meta Business Suite.

Maintain follow-up communication with sponsors and partners via email.

Outreach & Relationship Management:

Identify new contacts and pursue business opportunities.

Collaborate with sponsors, event partners, podcast guests, and vendors.

Organize lead information in spreadsheets.

Supervise local influencers and guide vendors in content sharing.

Event & Venue Logistics:

Oversee venue contractors and coordinate venue arrangements.

Press & Marketing Support:

Reach out to press contacts and manage follow-ups.

Perform weekly maintenance tasks related to promotional materials and engagement on social media.

Travel Coordination:

Coordinate travel arrangements including flights, accommodations, and vehicle rentals.

Marketplace & Asset Management:

Ensure weekly maintenance of online marketplaces and manage shared documents.

Oversee ordering of supplies for events.

Miscellaneous Management:

Assist with podcast transcription and post-event follow-ups.

Tools & Platforms:

Manychat

Meta Business Suite

Google Sheets / Excel

Dropbox

Travel booking platforms (e.g., Expedia, Booking.com)

Requirements

Demonstrated experience as an Executive Assistant or in a comparable administrative capacity.

Exceptional organizational abilities coupled with a strong attention to detail.

Excellent written and verbal communication skills.

Proficient in the Microsoft Office Suite and knowledgeable about additional productivity tools.

Capable of managing multiple priorities with a degree of autonomy.

Experience in event coordination or collaboration with sponsors/vendors is considered advantageous.

Able to work independently with a flexible schedule.

Proven ability to handle multiple tasks and effectively prioritize in a dynamic environment.

Self-motivated, proactive, and capable of thriving in a remote work setting.

Experience in calendar management and travel coordination is a beneficial asset.
