JOB SUMMARY

The Executive Administrator role at The World Egg and Sperm Bank exists to provide comprehensive administrative support to the Executive Leadership Team. This role plays a critical part in ensuring the smooth functioning of the organization by effectively managing administrative tasks and supporting the needs of multiple stakeholders, often simultaneously.

KEY RESPONSIBILITIES

1.Executive Support: Provide high-level administrative support to the Executive Leadership Team, including managing calendars, scheduling appointments, coordinating travel arrangements, and handling correspondence. Anticipate and proactively address administrative needs to enhance efficiency and productivity.

2.Office Operations: Maintain streamlined office operations. This may involve managing supplies and equipment, implementing office policies and procedures, and assisting with various administrative tasks to ensure smooth office functioning.

3.Communication and Coordination: Serve as a key point of contact and liaison for internal and external stakeholders. Facilitate effective communication by answering phone calls, responding to emails, and providing timely and accurate information. Coordinate meetings, prepare agendas, take minutes, and ensure regular communication with team members.

4.Document Management: Maintain organized and up-to-date documentation systems. Manage confidential files, records, and databases with strict adherence to data protection protocols. Prepare and distribute reports, presentations, and other documents as required.

5.Event and Project Support: Assist with planning, coordination, and execution of events, meetings, and special projects. This may include managing logistics, coordinating vendors, preparing materials, and ensuring all necessary arrangements are in place.

6.Human Resources: Key role in hiring, training, and onboarding new employees. Approving time off and assisting with payroll submission. Conducting annual and 90-Day Reviews with employees. Work alongside the PEO to maintain a seamless work environment.

QUALIFICATIONS & SKILLS

1. Proven experience as an Executive Assistant or similar role, preferably in a healthcare or medical setting.

2. Strong organizational and time management skills, with the ability to handle multiple tasks and prioritize effectively.

3. Exceptional communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.

4. Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other relevant software applications.

5. Proficiency with databases (SQL, Microsoft Access) preferred to provide support to the IT Administrator where needed.
