DEPARTMENT: Campus Ministries and Student Engagement

Position Summary: The Administrative Assistant for the Vice President of Campus Ministries and Student Engagement (CMSE) serves as the direct support employee for the VP in CMSE. This position also serves as the primary office manager for CMSE at large. This position is expected to live in accordance with a Christian code of conduct and take a Christian discipleship orientated approach to all that they do in this position. The Administrative Assistant position is a 12-month, full-time with benefits position. The position reports directly to the VP of CMSE.

RESPONSIBILITIES:

Provide on-going administrative support for the VP of CMSE. This includes assistance in managing email boxes, schedules, and outgoing communications.
Maintain meeting records for the CMSE leadership team and other high-level meetings.
Maintain and lead in office policies and procedures.
Maintain the welcoming atmosphere of the general office space and the conference areas.
Manage the CMSE front desk and front of office operations.
Manage Student Center facility schedules (Ferro conference room, GA conference room, CMSE conference room).
Manage and maintain the Chapel attendance process.
Serve as the primary purchasing agent for CMSE.
Manage and process departmental purchase orders.
Maintain departmental expenditure tracking while assisting all areas in remaining consistent and timely in accounting.
Support CMSE AVPs in communication and logistics.
Complete short-term projects assigned by the VP of CMSE.

Physical Requirements

Visual Abilities: Read reports, create presentations, and use a computer system.
Hearing: Hear well enough to communicate with co-workers, vendors, and students.
Dexterity, Grasping, Feeling, Write, Type, and use the telephone, copier, and computer systems.
Mobility: Open files and operate office machines; move between departments and attend meetings across campus.
Talking: Frequently convey detailed or important instructions and ideas accurately, loudly, or quickly.
Lifting, Pulling, pushing: Exert up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
Cognitive/Emotional: Ability to critically think and concentrate. Must be able to respond quickly to changes in conditions 75 to 100% of the time.

WORKING RELATIONSHIPS

This position is a full-time position in Campus Ministries and Student Engagement and reports directly to the VP of CMSE. This position works closely with all other CMSE Leadership Team members and Directors within CMSE.

WORK SCHEDULE

The Office of Campus Ministries and Student Engagement is open Monday through Thursday, 8:30 a.m. to 5:00 p.m., and Friday 8:30 a.m. to 12 p.m. Summer hours may vary. Office hours are subject to change as deemed necessary. Occasional work on Saturdays and evenings may be required.

TRAVEL

Travel will be required; however, all travel will be within regional proximity to the NGU Tigerville campus.

Bachelor’s degree preferred.
Minimum of 5 years prior applicable experience preferred.
Ability to organize, prioritize and problem solve with frequent interruptions.
Computer literacy and knowledge of Microsoft Office 365; experience with database use preferred.
Understand and comply with HIPAA and FERPA regulations.
Integrates Biblical standards within all assigned responsibilities and approaches student engagement from a Christian, ministerial approach.
Ability to develop and maintain healthy relationships with students, faculty, and staff.
Ability to think creatively, improve current processes, and develop new initiatives.
Desires to live beyond the job description to better the NGU community through Christian service and discipleship.
Demonstrates a desire to seek excellence in all they do.
