About the Role
We are hiring an Executive Assistant to support a U.S.-based executive across calendar management, communication follow-through, relationship support, and administrative operations.
This is a high-trust role for someone who can protect time, drive accountability, and help keep priorities moving across a fast-paced business.
This is not a traditional administrative role. The right person will act as a gatekeeper, accountability partner, and operational support partner so the executive can stay focused on high-value work.
What You’ll Own
● Manage a complex calendar across business and personal commitments
● Coordinate meetings, travel, agendas, notes, and follow-ups
● Track action items, deadlines, and priorities so nothing falls through the cracks
● Triage incoming email, flag urgent items, and draft responses for review
● Support professional communication with clients and key partners
● Build and maintain a structured contact database across multiple platforms
● Handle document formatting, e-signature routing, and digital file organisation
● Support basic LinkedIn engagement and related coordination when needed
What Success Looks Like
● Calendar is well-managed with clear prioritisation and minimal conflicts
● A shared task system is in place and actively used
● The contact database is organised and ready for ongoing outreach
● Email triage and follow-up run smoothly
● The executive has more time for high-value work and less time spent on logistics and admin
● The role is handled with strong discretion, reliability, and judgment
What We’re Looking For
● 3+ years of experience as an Executive Assistant or in a similar high-trust support role
● Strong organisational skills and the ability to manage multiple priorities in a fast-paced environment
● Strong written communication and professionalism in client-facing correspondence
● Proactive and self-directed, with the confidence to manage up when needed
● High emotional intelligence and discretion
● Proficiency in Microsoft 365, including Outlook, Teams, SharePoint, Word, and Excel
● Strong phone presence and professional demeanour
● Comfortable working U.S. business hours
Strong Fit If You Also Have
● Experience supporting an executive, founder, or senior leader
● Experience with contact management systems or CRM tools
● Experience in a remote EA role
● Familiarity with task or project management tools such as Planner, Asana, or Monday.com
