We’re looking for someone dependable, organized, and proactive to support the CEO and help keep day-to-day operations running smoothly.
About The Role
This role is ideal for someone who enjoys staying organized, creating structure, and helping things move forward. You’ll work directly with the CEO to manage priorities, coordinate projects, and keep day-to-day operations on track. We’re looking for someone proactive, resourceful, tech-savvy, and comfortable working independently in a fast-paced environment. This role will also involve using generative AI tools such as Claude, ChatGPT, and other emerging technologies to improve workflows, organization, communication, research, and overall efficiency.
Responsibilities
- Manage scheduling, calendars, appointments, and email communication
- Organize tasks, follow-ups, and project timelines
- Help keep projects and day-to-day operations on track
- Coordinate vendors, travel, errands, and logistics
- Organize files, documents, subscriptions, and internal systems
- Assist with operational and administrative needs as they arise
- Use AI tools and new technologies to support organization, research, workflows, and productivity
- Professional and comfortable communicating with vendors, customers, bankers, attorneys, and other business partners
- Handle confidential information with discretion and professionalism
What We're Looking For

- Comfortable managing multiple priorities
- Strong communication and follow-through skills
- Tech-savvy, adaptable, and willing to learn new tools and technologies
- Familiarity with generative AI platforms like Claude or ChatGPT preferred
- Able to work independently while also taking direction well
- 2+ years of experience in executive support, office administration, operations coordination, or a similar role preferred
- Proficiency with Google Workspace
- Valid driver’s license required
- Background check required
