At the UConn Health, this class is accountable for providing a full range of administrative support and/or entry level program support for the Offices of Dental Academic Affairs, Student Affairs, and Admissions.
The UConn School of Dental Medicine is seeking a highly organized, detail-oriented, and proactive Administrative Program Assistant I to join our Academic Affairs Office. The successful candidate will provide essential administrative support to the department’s day-to-day operations, ensuring smooth functioning of academic programs, faculty support, and student services. This is a dynamic role ideal for an individual with strong communication skills, a passion for higher education, and the ability to manage multiple tasks in a fast-paced environment.
SUPERVISION RECEIVED:
Works under the general supervision of an employee of higher grade.
SUPERVISION EXERCISED:
May lead/supervise lower-level employees as assigned.
EXAMPLES OF DUTIES:
Administrative Support: Provide comprehensive administrative assistance to the Academic and Student Affairs team, including scheduling meetings, managing calendars, and room scheduling.
Communication Support: Serve as the first point of contact for students, faculty, and staff regarding academic-related inquiries. Attend committee meetings to record decisions, action points, and distribute finalized minutes. Draft and distribute correspondence, memos, and other communications as needed. Greets and directs visitors, answers phones, screens and triages incoming calls. Acts for manager by interpreting established policies and procedures and relates such to others.
Program Support: Assist with the coordination and execution of academic programs, including course scheduling, faculty support, and student services. Prepare program materials, post evaluation surveys, track deadlines, and ensure timely delivery of services.
Data Management: Maintain and update academic records, databases, and documents related to faculty, courses, and students. Generate reports and assist in data analysis.
Event Planning: Support coordination of academic meetings, workshops, orientation sessions, and other academic events, ensuring logistical support and smooth operations.
Office Operations: Manage and order office supplies, handle mail and correspondence, organizes and maintains filing systems. Support other administrative tasks as directed by senior staff.
Performs related duties as required.
MINIMUM QUALIFICATION REQUIRED
KNOWLEDGE, SKILL AND ABILITY: Considerable knowledge of office systems and procedures; considerable knowledge of proper grammar, punctuation and spelling; knowledge of business communications; knowledge of the unit’s policies and procedures; some knowledge of business math; oral and written communication skills; interpersonal skills.
Excellent organizational and time-management skills; strong verbal and written communication abilities; ability to multitask and prioritize effectively; proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic database management; ability to maintain confidentiality and handle sensitive information with discretion.
EXPERIENCE AND TRAINING:
General Experience: Two (2) years experience above the routine clerk level in office support, preferably in an academic or higher education setting.
SUBSTITUTION ALLOWED: College training may substitute for the General Experience on the basis of fifteen (15) semester hours equaling one-half (1/2) year of experience.
PREFERRED QUALIFICATIONS: Bachelor’s degree and knowledge of academic systems and student information systems (e.g., Blackboard, PeopleSoft) is a plus.
SCHEDULE: Full time, 40 hours per week (8 hours per day with a 30-minute unpaid meal break) Monday – Friday, between the hours of 7:30 a.m. and 4:00 p.m. Flexibility is required to accommodate departmental needs.
