Sandhill Center in Los Lunas is seeking a FT Business Office Manager.
At minimum, a Bachelor’s Degree in business, IT or a related field. Working knowledge of standard office technologies, and Microsoft Office Suite.
Relevant certifications in HR, payroll or IT are desirable but not essential. Experience processing payroll is preferred.
Must have reliable transportation and eligibility to drive. Background check and Pre-employment drug screen required. Mandatory covid vaccination policy.
Duties include:
Processes and submits agency payroll data.
Reviews timecard exceptions at minimum on a weekly basis.
Enters new hires into ADP or Quickbooks & TSheets.
Enters any corresponding wage changes into the electronic files, and conducts audits regularly.
Ensures an adequate storage system for payroll documents, ideally electronic.
Keeps PTO accrual rates current for all employees.
Creates and distributes PTO reports after each payroll.
Creates and distributes Overtime reports after each payroll; tracks that overtime supervisions are submitted.
Processes health benefit enrollments and terminations in an accurate and timely manner.
Manage the petty cash accounts with accuracy and back-up documentation.
Participates in the CARF accreditation process.
Assists in maintaining compliance for payroll law, HR law, Form I-9 and Form W-4.
Knowledge of licensing and certification standards regarding personnel records, training and related documents.
Helps ensure agency policies and procedures are updated annually and as needed, and in compliance with any updated laws or requirements.
Oversees that HR files are complete and updated timely, including those that are electronic, hard copy or in storage.
Ensures compliance in destroying documents within the legal timeframe.
Helps ensure preparedness for annual state licensing inspection, including but not limited to maintaining current records in licensing survey binder.
Helps ensure preparedness for other inspections including but not limited to risk management audits, worker’s compensation audits, and safety inspections.
Participates as needed in clinical meetings, senior level management meetings, and other pertinent staff meetings to share relevant information.
Serves as an administrator for agency email and Best Notes accounts.
Serves as an administrator for e-signature programs and assists in communication with staff, client families, or other parties as needed to collect signatures on documents.
Assists in conducting ongoing random camera reviews, and additional reviews as-needed.
Ensures that all technology systems are functional and enhance worker efficiency.
Ensures that the business property inventory system is up to date and comprehensive.
Provides support services to co-workers as needed.
Other duties as assigned.
