ROLE OVERVIEW:We’re looking for a resourceful Executive Assistant to support the SVP, DTC and SVP, DTC Sales in their daily administrative tasks. You will be responsible for managing their day-to-day calendars, be able to work under pressure, and have the willingness to go above and beyond your outlined responsibilities. This role requires a high level of organization and attention to detail.

KEY RESPONSIBILITIES:

Lead the day-to-day support of managing complex calendars across different time zones, resolve any meeting conflicts and ensure SVPs are aware of upcoming meetings.

Manage all administrative functions, organize and support research, gather and create materials for meetings in advance.

Business Presentations: compile necessary documentation into clear, concise decks for presentation.

Support managing email inboxes and have a high level of confidentiality.

Make all travel arrangements, including assistance in obtaining any necessary paperwork (i.e., visas passports, etc.) and provide itineraries for upcoming trips.

Accurately create, code, manage and organize expense reports.

Business Development: assist the SVPs of DTC in all business development ideas for the company, including but not limited to:

Real Estate expansion

New Software / Tech developments

New Vendors / Brands

Identify and implement solutions to enhance the SVP’s daily schedule and ongoing project timelines.

Personal: assist with scheduling personal appointments and other tasks as needed.

Any other ad hoc projects.

ESSENTIAL SKILLS, EXPERIENCE, AND EDUCATION REQUIREMENTS:

Proven work experience as an Executive Administrative Assistant or similar role.

Proficient in Microsoft Office (specifically Excel) and open to learning new technology.

Ability to interact with senior leaders at all levels in a fast-paced environment, while remaining flexible, proactive, and efficient, with a high level of professionalism.

Highly organized with the ability to perform multiple tasks and handle changing priorities successfully with minimal direct supervision.

Strong communication skills via phone, correspondence including email, and in-person.

Experience exercising discretion and confidentiality with sensitive company information.

Excellent organizational skills with an ability to think proactively and prioritize work.

BENEFITS:

$75,000 – $80,000 base salary (This range represents the low and high end of the anticipated base salary range for this NYC – based position. The base salary will depend on numerous factors such as: experience and qualifications for the role, experience level, skillset, and balancing internal equity relative to other AO employees.)
