Populus Health Technologies is a rapidly growing digital health company based in Princeton, NJ.

The company seeks a skilled Executive Assistant to support the CEO and executive team and to manage the company’s Princeton NJ office.

Populus was founded in 2019 by veteran healthcare marketing executives. The company was the first to offer brands a digital marketing platform connecting virtual care patients with pharmaceutical brand initiatives. Populus is now strategically positioned as the first and largest virtual patient acquisition and activation platform offering Virtual Point of Care (VPOC) and professional solutions as well as DTC patient qualification and activation channels customized for Rx brands.

What You’ll Be Doing

This position is ideal for an individual seeking a diverse set of responsibilities within a small but rapidly growing firm. The role is focused primarily on assisting the CEO with organizing schedules, data, and corporate information to help support the expansion of the business. The role includes office manager duties that relate to the smooth operation of the office in a hybrid environment whereby some associates will be in the office on specific days of the week. This role is primarily based in-office with flexibility made for work from home / hybrid schedules.

Duties and Responsibilities

· Manage CEO’s calendar as well as communications with clients, employees and vendors

· Work independently to organize information and communicate with the team

· Light duty spreadsheet work to track projects and initiatives

· Prepare materials for meetings with internal and external associates

· Work to meet deadlines as needed; handle confidential information with discretion

· Draft documents, proofread and make suggestions to ensure professional presentations

· Support COO with drafting SOW’s, MSA’s, Telehealth Media Agreements, etc.

· Onboarding new employees and assisting with enrollment of benefits

· Prepare and edit documents, presentations, and reports for executive presentations.

· Effectively manage frequently changing calendars, including scheduling meetings and appointments

· Arrange travel itineraries including flights ensuring seamless travel and accommodations

· Coordinate events, including board meetings, conferences, and team building activities

· Manage expense reporting and reimbursement processes, ensuring accuracy and compliance.

· Some light bookkeeping may be required / support and instruction provided

· Maintain organization and efficiency in the office, managing supplies, records, and technology.

Requirements

Bachelor’s degree and a minimum of 3 years in business or non-profit work

Demonstrated written communication skills

Familiarity working with management teams and scheduling travel and entertainment

Highly organized & detail oriented; adept at managing schedules and digital platforms

Effective and well developed written and verbal communication skills

Proficient analytical and math skills; comfortable working with numbers

Ability to take on multiple projects in a fast-paced start up environment

Highly proficient in learning and using digital tools and services; plus Excel and PowerPoint

Available to work full-time in an office environment
