Our dynamic start-up, fintech client is seeking a proactive and highly organized Executive Assistant to the CEO with a proven track record supporting C-level leadership in fast-paced startup or tech environments. This role requires excellent multitasking, communication, and problem-solving skills, with the ability to anticipate needs and manage day-to-day priorities with discretion and efficiency. You’ll serve as a strategic partner to the CEO, managing calendars, communications, meetings, and special projects, while acting as a key liaison to internal and external stakeholders.

Exceptional ability to prioritize, multitask, and manage competing deadlines in a fast-paced environment
Prior experience in startup and/or tech environments is required
What You’ll Do
Provide sophisticated calendar management for CEO – participating in all calls, meetings and travel as needed, and ensuring CEO is frequently updated and reminded of his commitments
Monitor and manage CEO’s email inbox, including screening and prioritizing messages, drafting responses on behalf of the CEO, and ensuring timely and effective communication with internal and external stakeholders.
Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements
Act as a liaison and provide support to Advisory Board and executive leadership
Arrange and handle all logistics for executive meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes
Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including:
– assisting with special projects
– designing and producing complex documents
– reports, and presentations
– collecting and preparing information for meetings with staff and outside parties
– composing and preparing correspondence
– maintaining contact lists
– making travel arrangements when necessary
Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature.
Act as a “barometer,” having a sense for the issues taking place in the environment and keeping the CEO updated
Anticipate the CEO’s needs in advance of meetings, conferences, etc.
Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed
Provide “gatekeeper” and “gateway” role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team
What You’ll Need
5 years of experience with C-Suite executives (preferred)
Start-up / tech experience required
Attention to detail, excellent communication and problem-solving skills
Bias for action and a “can-do” attitude
Willingness to be available outside of traditional business hours as needed
Valid driver’s license
Proficient with Google Office Suite
Comfortable using or familiar with Macs
