The Executive Assistant to the CEO, working with a high degree of autonomy, is responsible for performing advanced, diversified, and confidential administrative support for the Chief Executive Officer (CEO), the Executive team, and multiple directors of the Board. The role involves research, projects, presentations, correspondence, travel planning and scheduling, calendar management, expense report reconciliation, record keeping, agenda preparation, report distribution, and complex logistics.

Additionally, the role proactively manages the day-to-day needs of the CEO’s office and acts as the primary contact for internal and external parties regarding CEO matters.

Key Responsibilities

Provide diversified, confidential administrative support to the CEO and coordinate with senior executives and directors.

Manage the daily operations of the Executive Office proactively.

Handle varied responsibilities, escalate issues appropriately, and facilitate timely discussions to meet priorities.

Ensure smooth communication between the CEO’s Office and other departments.

Respond independently to internal and external requests on behalf of the Executive Office.

Assist with various departmental projects, scheduled and unscheduled.

Collaborate with senior executives on management presentations.

Prepare for meetings by creating agendas, notes, and presentations, utilizing technology to optimize efficiency.

Coordinate extensive travel arrangements, including last-minute changes, for both international and domestic trips.

Interact regularly with inter-departmental staff to resolve workload and scheduling issues.

Manage the CEO’s active calendar, prioritize requests, and resolve conflicts promptly and respectfully.

Support Board of Directors meetings, including logistics, preparation, and maintaining schedules and deadlines.

Handle sensitive documents, conduct research, and analyze topics relevant to executive commitments.

Summarize data, trends, and information to aid communication and meeting preparation.

Manage incoming/outgoing calls, mail, visitors, supplies, and packages professionally.

Support logistics for Investor Day, Shareholder Meetings, conferences, road shows, and related presentations.

Qualifications

10+ years of experience in Executive Support or a related field.

High School Diploma or GED, or equivalent experience.

Location

Hybrid work model, with three or more days per week in the office.
