The Welcome Center Associate serves as the first point of contact for Halifax Community College. This individual provides front-desk support, greets and assists students, employees, and campus visitors, answers and directs phone calls, distributes campus mail, and offers general information and directions to various departments and services on campus. The Associate plays a vital role in creating a positive and welcoming environment for all who visit HCC.

Examples of Duties

Answer and transfer telephone calls to appropriate offices and departments. Greet and direct students and visitors.
Provide excellent customer service to internal and external customers.
Schedule the use of vehicles and maintain records of their usage.
Perform clerical work (with or without the computer).
Greet and assist visitors, students, and staff in a professional and courteous manner.
Manages the Help Center portal and Livechat.
Provide general campus information and directions to buildings, offices, and events.
Distribute incoming and outgoing campus mail and packages to designated departments.
Maintain a neat and organized front desk and lobby area.
Assist with the preparation and distribution of materials for campus events and information sessions.
Provide support to the Office of the President as needed, including data entry, filing, and special projects.
Maintain confidentiality and uphold a high standard of customer service and professionalism.
Upkeep of both visitors’ log and staff/students’ signing in and out sheets.
To operate a reception area that always promotes a professional image of the College.

Minimum/Required Qualifications

Minimum Qualifications
High school diploma or equivalent required; associate degree preferred.
Excellent telephone manner.
Prior experience in reception, customer service, or administrative support in a Community College environment.
Have good communication and interpersonal skills and be able to mix easily with students, teaching and non-teaching staff, parents, contractors, and suppliers.
Ability to operate standard office equipment, including multi-line phone systems, copier, and computer.
Professional appearance and demeanor.
Ability to handle multiple tasks in a fast-paced environment.
Ability to remain calm, composed, and flexible within a busy and demanding environment.
Ability to work effectively within a team and on their own initiative.

Preferred Qualifications

Must be accurate in recording details and make full use of the College’s computer systems.
Knowledge of Microsoft Office Suite and general data entry.
Ability to undertake a wide range of clerical, administrative and general duties.

Working Conditions

This position is primarily seated at a front desk in a public-facing role.
May involve occasional lifting of materials up to 15 pounds.
Standard work hours with occasional need for flexibility during special events or peak registration periods.
Ability to bend, stoop, reach, and navigate from one area of the building and campus. Requires extensive computer and phone use.
Manual and physical dexterity needed to operate a computer keyboard and handle paper documents.
