MINIMUM QUALIFICATIONS/REQUIRED SKILLS
High school diploma or equivalent required. Bachelor’s degree preferred.
Combination of training, education, and experience which demonstrates possession of knowledge of the responsibilities stated.
Knowledge of technology and computer software.
Ability to communicate clearly and concisely.
RESPONSIBILITIES/DUTIES
ESSENTIAL JOB FUNCTIONS:
The position of Executive Assistant to the Chief Academic Officer is to provide a variety of complex and confidential administrative support to the Chief Academic Officer. The Executive Assistant helps facilitate the efficient flow of information regarding department functions and procedures, in a customer-centered, policy-guided manner.
Collaborates with the Chief Academic Officer in writing, tracking, and reporting all State and Federal Grant expenditure reports while adhering to strict deadlines;
Reports such as the Periodic Performance Report, the Monitoring Instrument Report, Comparability Report and Performance Report for the Every Student Succeeds Act (ESSA) Grants, consisting of Title funds, and the State Library Grant.
Exhibits proficiency in navigating budget spreadsheets for federal grants, building staff development budgets, and Learning Media Center budgets for all schools.
Assist the Chief Academic Officer in preparing the Consolidated District Plan in compliance with Federal Grant requirements.
Work collaboratively with the Chief Academic Officer in organizing new employee orientation and mentor program, generating all required documents, agendas, communications to new staff, and ordering of materials.
Work with the Chief Academic Officer with all needed support for conference events.
Support the Chief Academic Officer with providing and processing meeting minutes and posting all documents and agendas for meetings, Committee meetings and Board of Education documents as required for approval by the Board of Education.
Assist the Chief Academic Officer in maintaining and processing all new and revised board policies.
Process and track Student Teacher and Student Observation hours’ and placement requests from approved universities and colleges.
Organize and present documentation for the Learning Services Department as required by the McHenry Regional Office of Education.
Support ongoing curricular initiatives, adoptions, and professional development events for the Learning Services Department.
Assist in procuring assessment materials needed by the Learning Services Department.
Track, generate, and disseminate all professional development credit forms and evaluations for any district-approved staff development activities.
Support the Chief Academic Officer in producing and submitting the annual school calendar.
Process, approve, and track purchase orders for the Learning Services Department, staff development, and Learning media centers.
Assist the Chief Academic Officer with the District 15 student handbook and student discipline policies process.
Assist with the School Report Cards annually.
Maintain manual and electronic documents, files, and records for providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
Communicate clearly with all customers, internal and external, including staff, students, parents and the community.
Maintain strict confidentiality of student, personnel, and school district business records.
Performs routine clerical functions such as typing, filing, processing in-district and outside correspondence, answering phones, preparing special project materials, and ordering supplies.
Assist in compiling data for reports, records, and audits.
Ability to perform with awareness of district requirements and policy.
Perform other duties as assigned by the Assistant Superintendent.
