The Executive Assistant will support three key partners in the organization and will work cross-functionally with the finance and operations team on various administrative tasks. This includes calendar management, booking travel, submitting expense reports, event planning, and office management. The Executive Assistant will also work closely with the Executive Assistant to the CEO, collaborating on initiatives across the organization.

Responsibilities

· Provide executive support to the Partners of the organization

· Extensive calendar management, scheduling travel, email support, and expense reimbursements

· Event Coordination – organizing team bonding events, client breakfasts/lunches/dinners, company offsites, holiday parties, exec committee retreat

· Office Management – greeting guests, ordering food /supplies & and technology /office equipment, registering visitors, submitting maintenance requests, handling IT issues, coordinating cleaning schedule, handling ad hoc requests as needed

· Creation and maintenance of company processes and systems

· Helping manage the CRMs for various business functions

· Misc. Tasks – sending out NDAs for signature / filing them in appropriate spots, ordering business cards as needed, handling research projects for upcoming LP events

· Assisting in the planning of offsites and other team events

· Overflow support from other team members as needed

Qualifications

· 2-5 years of executive support experience, preferably within the financial and professional services industries working directly for an SVP or C-Suite executives

· College degree preferred

· Process and systems-oriented, with experience building out processes in other organizations

· Calendar management experience, specifically gatekeeping and managing the executive’s time

· CRM management experience

· Exceptional attention to detail

· Highly personable

· Entrepreneurial drive and desire to help grow and develop a business

· Strong communication skills, including a demonstrated ability to write effectively

· An ability to manage projects independently and to completion

This position is on-site five days per week in the firm’s New York City office.
