Position Overview

The Safety Administrative Assistant plays a critical role in supporting the company’s safety and compliance initiatives by providing administrative assistance to the Safety and Recruiting teams. This position ensures that drivers, equipment, and company records remain compliant with industry regulations while assisting in key processes such as onboarding, offboarding, compliance tracking, and safety-related technical support. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively across departments.

Key Responsibilities

Safety & Compliance Support

Assist drivers and Terminal Managers with safety and compliance-related issues, including tracking and organizing monthly maintenance reports, inspections, and compliance trends.
Maintain and track critical driver documents, such as licenses, medical cards, insurance certificates, cab cards, annual inspections, and safety reviews.
Ensure driver and truck compliance lists are up to date and communicate expirations to managers and the Safety Department.
Provide technical support for Samsara/ELD and dashcam systems.
Maintain compliance records and properly update systems such as HireRight, UIIA, and DriverReach per federal and state CDL regulations.

Driver Onboarding & Offboarding

Onboarding

Assist Safety and Recruiting in setting up new drivers for compliance.
Complete driver setup in company systems, including:
Creating driver codes in VI.
Configuring Samsara ELD and setting up tablets.
Adding drivers to UIIA for port access.
Sending onboarding emails to terminals, accounting, and safety teams.
Providing new drivers with login credentials for necessary systems.
Follow up on past employment verifications and ensure compliance with Driver Qualification Files.

Offboarding

Remove departing drivers from all safety and company systems, including VI, DriverReach, Samba, UIIA, spreadsheets, and internal records.
Cancel company-sponsored insurance and occupational accident insurance.
Communicate escrow cancellations with the Finance Department.
Ensure proper documentation of driver separations and update HireRight per legal requirements.

Technology & Equipment Support

Act as the primary contact for driver tablet setup and troubleshooting.
Manage tablet inventory, ensuring proper tracking and cost-effective refurbishment.
Repair tablet software issues in coordination with the Director of Technology.
Provide technical support for company phones, tablets, and other IT needs.

Administrative Duties & Reporting

Maintain driver turnover reports and provide updates to leadership.
Assist with company-wide documentation updates, including formatting and maintaining Standard Operating Procedures (SOPs).
Support safety-related projects and administrative tasks as needed.

Who Should Apply?

Ideal candidates will have:

Strong organizational skills and the ability to manage multiple tasks efficiently.
Attention to detail in compliance tracking and reporting.
Excellent communication skills to interact with drivers, managers, and departments.
Technical proficiency with industry systems such as Samsara, DriverReach, VI, UIIA, and HireRight.
Experience in transportation, safety, compliance, or administrative roles (preferred but not required).

Pay: $23.00 – $24.05 per hour

Expected hours: 40 – 45 per week
