Job Overview
The Administrative Specialist is the primary contact for all apprentices and contractors regarding the dispatching process. The Administrative Dispatch Specialist is responsible for dispatching apprentices to contractors. The role requires efficiency and working collaboratively with the team members to contribute to the success of the Apprenticeship Department. This role will be supported by a friendly and welcoming work environment.

Primary Responsibilities include, but not limited to:

· Work with the team to ensure a sufficient number of available apprentices for dispatch.

· Coordinate the dispatching process.

· Update information in the database.

· Collaborate with members and membership department to maximize dispatching opportunities.

· Communicate with apprentices regarding work report related issues.

· Communicate with apprentices regarding jobsite related issues.

· Assist with identifying contractors needing jobsite visits.

· Conduct class visits to answer apprentice questions.

· Provide back up for other team members in the department.

· Generate monthly apprenticeship program statistical reports.

Knowledge, Skill and Abilities:

· Time management skills. Ability to maintain a high level of accuracy in preparing and entering information.

· Analytical and problem-solving skills.

· Ability to prioritize multiple tasks.

· Ability to complete projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; adjusting plans.

· Must have a professional and helpful demeanor. They should be a self-motivated team player with strong organizational and multi-tasking skills. Exceptional written and verbal communication skills are required.

· Must be honest and trustworthy and display sensitivity to confidential matters, ability to demonstrate sound work ethics. Experience and knowledge of office administration. Excellent interpersonal skills possess cultural awareness and sensitivity.

· Computer Skills: Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and, Adobe programs.

· Must possess valid California Driver’s License and must be eligible to be insured under company vehicle insurance policy.

· Physical Demands: Able to work at least 8 hours/day and 40 hours/week. Additional shifts may be required including evening, weekend, and overtime. Able to sit at a desk for up to 8 hours a day. Able to drive in a car for up to 8 hours a day. Lifting up to 20 lbs.

· This is a full time in-office position 40 hours a week with flexible hours between 7:00am to 5:00pm

Job Type: Full-time

Pay: $23.00 – $27.00 per hour
