Nexus Pharmaceuticals Ltd is looking for Executive Assistant To The Managing Director(Regulatory & International Affairs)

Job Description / Responsibility

  • Work directly under the Managing Director.
  • Manage MD's daily calendar, appointments and schedules.
  • Arrange meetings, travel plans, hotel bookings and official events.
  • Prepare presentations, reports and confidential documents.
  • Screen emails, telephone calls and visitors.
  • Maintain confidential records and company documentation.
  • Prepare official letters and correspondence.

Regulatory Affairs Responsibilities

  • Coordinate product registration with DGDA.
  • Prepare product dossiers and technical documents.
  • Coordinate import permission and regulatory approvals.
  • Maintain all licenses, certificates and regulatory documents.
  • Coordinate artwork approval and product labeling.
  • Maintain regulatory compliance documentation.
  • Liaise with DGDA, DLS and other government authorities.

International Affairs Responsibilities

  • Communicate with overseas suppliers and business partners.
  • Coordinate import and export documentation.
  • Follow up Purchase Orders (PO), Proforma Invoice (PI), Commercial Invoice (CI), Packing List, COO and shipping documents.
  • Coordinate with freight forwarders and customs clearing agents.
  • Assist visa documentation and international business communication.
  • Coordinate international product registration where applicable.

Manufacturing & Factory Coordination

  • Coordinate with Production, PMD, QA and QC Departments.
  • Follow up new product development.
  • Monitor manufacturing progress.
  • Conduct regular factory visits (minimum three visits per month).
  • Coordinate raw material imports and production planning.
  • Assist in troubleshooting production-related issues.

Communication & Coordination

  • Coordinate between Managing Director and all departments.
  • Follow up assigned tasks.
  • Prepare meeting agendas.
  • Record meeting minutes.
  • Monitor action plans and deadlines.
  • Coordinate with suppliers, consultants and external stakeholders.

Documentation & Compliance

  • Maintain confidential company records.
  • Maintain agreements, contracts and licenses.
  • Prepare documents for regulatory submissions.
  • Maintain electronic and physical document archives.

Veterinary Technical Support

  • Coordinate meetings with PMD, Technical Service and Regulatory Teams.
  • Assist in veterinary product development documentation.
  • Prepare technical presentations.
  • Coordinate seminars, conferences and training programmes.

Educational Requirements

  • Doctor of Veterinary Medicine (DVM)
  • Master of Pharmacy (M.Pharm)
  • Master of Science (MSc) in Microbiology, Chemistry
  • Skills Required: Veterinarian, Pharmaceutical/ Medical Marketing, Microbiology, Chemistry
