The ideal candidate will be responsible for managing the daily operations of our office, ensuring efficient front desk operations, and providing exceptional support to both patients and staff. Responsibilities
Manage front office operations, including greeting and checking patients in (including placing in exam rooms and straightening the room afterwards (No sharps etc)) and checkout, answering and replying to phone calls with excellent phone etiquette. We have remarkable, interesting, and friendly patients, who will become your friends as well.
Complete office management tasks, ensuring a well-organized and efficient work environment. There will be miscellaneous tasks in this category. As a small office, even gathering trash is a daily activity.
Review documentation for accuracy and completeness, particularly updating insurance, Medicare forms, medication list, and allergies.
Prepare and Maintain organization within paper patient medical records. However, there is a document storage system for old records and financial records, so occasional old records will be printed.
Assist with medical billing processes, ensuring correct insurance information, printing superbills, and follow-up on outstanding accounts.
Coordinate appointments and manage re-scheduling appointments if necessary.
Answer patient questions and relay responses by physician. This will include refills.
Complete administrative tasks, including filing, data entry, re-credentialing, insurance requests, and inventory management.
Process incoming and outgoing labs which includes a log. Call for results if needed.
Collaborate with healthcare providers to ensure seamless patient care delivery.
Requirements
Proven experience in an office administration role, preferably within a healthcare, veterinary, or dental clinic environment. Other non medical experiences acceptable.
Independent proactive problem solving ability
Logical Reasoning with efficient organizational skills
Prioritizing and triaging ability as well as thinking/planning ahead capabilities
Reliability is essential since this is an integral position
Excellent phone etiquette and communication skills combined with detailed organizational abilities to promote better time management for patient flow.
Congenial personality
Computer skills sufficient to learn a software based appointment system, check software for current insurance information, complete prior authorization forms for medication, assist in hospital re-appointments, and occasional tasks in Word or Excel
Ability to manage multiple tasks efficiently while maintaining attention to detail.
Ability to work independently as well as integral part of a team in a sometimes fast-paced environment.
