Position Summary

9/11 Day seeks a seasoned, proactive, and highly organized Executive Assistant to work closely with the Vice President of Partnerships. This is a fast-paced, high-trust role that sits at the heart of our work with corporate sponsors and supporters.

You’ll be the go-to person for keeping everything moving – from managing a busy calendar and preparing for sponsor meetings, to staying on top of follow-ups and ensuring no detail gets missed. Key Responsibilities:

Sponsor Management Support

Manage direct communication with an extensive portfolio of corporate sponsors – ensuring every interaction is timely, professional, and reflects the tone and values of 9/11 Day.

Track sponsor commitments and deadlines to ensure that nothing falls through the cracks.

Keep our sponsor info organized – from CRM updates to signed agreements.

Help draft and format presentations, reports, and briefing docs.

Executive Administrative Support

Manage scheduling, calendar coordination, and travel planning.

Prepare materials for internal and external meetings, including agendas and notes.

Stay on top of emails and other communications, flagging what’s essential and helping respond when needed.

Support the VP with research, data entry, and the organization of partnership materials.

General Operational Support

Seek opportunities to streamline our workflow and enhance our systems.

Pitch in on special projects, time-sensitive priorities, and general day-to-day tasks.

Collaborate with other team members to ensure partnership efforts remain aligned and on track.

Qualifications



At least 5 years of experience in a similar role supporting senior leadership.

Experience managing relationships or communications with external partners or stakeholders.

Strong communication, organizational, and time management skills.

Technologically proficient (Google Workspace, Slack, Adobe).
