Overview

Executive Coordinator Jobs in Stockholm, Stockholm County, Sweden at Coursio

Title: Executive Coordinator

Company: Coursio

Location: Stockholm, Stockholm County, Sweden

We're looking for a structured, self-driven person who's ready to grow into a key role at a fast-growing tech company. Whether you're a recent graduate or have a couple of years behind you, what matters most is your mindset and willingness to learn.

About the company

Coursio offers a business platform for education. We work with clients across multiple countries and are an international team from Sweden, Portugal, the US, and Ukraine, among others. The team is partly based in Stockholm and remote, and we thrive in an environment where pace, ownership, and cross-border collaboration are a natural part of everyday life.

The role

This is a broad, hands-on role for someone who likes holding things together, communicating with people, and solving problems before they grow.

The role combines being the CEO's right hand and supporting the wider business and management team.

You'll switch between keeping the CEO's day in order and owning the ongoing operations and admin work that keeps the company running smoothly.

Examples of what you'll do

Close to the CEO:

• Proactively manage complex calendars, resolving scheduling conflicts and prioritizing meetings

• Act as the primary point of contact between the executive and internal/external stakeholders

• Prepare meeting materials and/or presentations

• Book travel, meetings, and events end to end

• Billing management and process expense reports

In daily operations:

  • Handle administrative matters and operational workflows
  • Process and approve invoices
  • Assist in ongoing customer communication, tech support and client delivery
  • Help create structure in internal processes
  • Use digital tools and AI to streamline administration and information flow
  • Office management

We think you're someone who

  • Is calm and structured, even when the pace picks up
  • Takes initiative and is comfortable being proactive rather than waiting for instructions
  • Is tech-savvy and curious — AI is a natural part of how you work, and you always want to learn more
  • Has a strong willingness to learn and grow into the role with us
  • Is grounded and able to hold your own around driven, high-performing personalities
  • Is social and good at communicating with the team.
  • Knows Gmail, Google Calendar, and the Office suite
  • Spot problems before they grow, and bring solutions, not questions

On language: You speak and write Swedish fluently, and English is no problem for you — you'll use both with colleagues and customers.

You can be a recent graduate or have some work experience — what matters most is how you think and act, not the length of your CV.

This role suits someone who wants to

  • Work closely with a fast-growing company and take on real responsibility early
  • Have variety instead of monotonous workdays
  • Thrive in a modern, international environment — not a stiff corporate culture

Practical information

  • Scope: Full-time
  • Start: As soon as possible
  • Location: Remote-first, but you need to be based in Stockholm for occasional in-person meetings
  • Salary: 27,000 – 29,000 SEK (depending on experience)

How to apply

Send to [email protected] :

  • CV
  • LinkedIn profile
  • A short intro about yourself (max 200 words) — who are you, why this role, and when can you start?

Also answer the following three questions (keep it short and to the point):

  • Tell us about a situation where you created structure in something messy or unclear. What did you do specifically, and what was the result?
  • Which digital tools and AI tools do you use in your day-to-day work today, and for what?
  • You have three things on your plate at once: an invoice that needs to be approved today, a customer who's been waiting for a reply since yesterday, and the CEO who needs help with a trip next week. How do you prioritize? (We're not looking for the "right" answer — we want to see how you think.)
