Position Objective
Provide direct executive support to the CEO by centralizing information from all company areas, ensuring timely task execution, proper organization of priorities, and effective follow-up on internal activities. Through the use of digital tools, project management platforms, and communication channels, this role guarantees operational efficiency, information traceability, and that the CEO always has full visibility of what is happening across the organization.
Responsibilities
Executive Support
- Serve as the primary point of contact between the CEO and all internal areas, consolidating updates, reports, and priorities into clear, actionable information.
- Provide direct administrative and organizational support to the CEO in daily operations.
- Manage and coordinate calendars, meetings, and commitments (personal and business).
- Handle emails, follow-up on pending items, and internal and external communications on behalf of the CEO.
- Coordinate tasks, priorities, and reminders across areas to ensure timely execution.
- Prepare summaries, briefs, and status reports so the CEO stays informed without needing to follow up directly.
- Handle confidential information with a high level of discretion and professionalism.
Cross-Area Coordination
- Act as the operational bridge between all departments (Sales, Marketing, Operations, Finance, etc.) and the CEO, ensuring information flows accurately and on time.
- Follow up on commitments and deliverables assigned to different areas, escalating blockers or delays to the CEO proactively.
- Support the execution of workflows and operational tasks across teams when required.
- Identify bottlenecks or gaps in internal processes and propose improvements to optimize efficiency.
Administrative & Tools Management
- Ensure proper use and continuous updating of internal tools (Google Drive, CRM, task management systems, etc.).
- Organize and maintain documentation, files, and records accessible and structured for the CEO's review.
- Support the coordination of special projects, strategic initiatives, or cross-functional tasks as directed by the CEO.
Education
- Bachelor's degree in Business Administration, Industrial Engineering, Communications, or related fields.
Experience
- 3+ years in administrative, executive assistant, operations coordinator, or similar roles.
- Proven experience managing calendars, multi-area task coordination, and executive-level communication.
- Background working in fast-paced environments with multiple simultaneous priorities.
Technical Skills
- Advanced proficiency in Google Workspace (Docs, Sheets, Drive, Calendar, Gmail).
- Experience with CRM systems (HubSpot, Salesforce, Go High Level, or similar).
- Experience with project management tools (Asana, Trello, Monday.com, or similar).
- English C1 (required — must be able to communicate with international teams and stakeholders).
