Salary: R20,000.00 – R25,000.00 CTC (Depending on Experience)

About the Role

We are seeking a highly driven and versatile Executive Operations Assistant to join a

well-established US-based ABA (Applied Behavior Analysis) company dedicated to

improving the lives of children and families through high-quality autism therapy services.

This is a high-impact role supporting the Founder across multiple areas of the business,

including operations, sales, marketing, executive administration, and strategic initiatives. In

addition to supporting the day-to-day operations of the ABA company, you will also provide

executive and operational support across the Founder's other business ventures and

entrepreneurial projects. As such, this role requires someone who is adaptable, resourceful,

and excited by the opportunity to work across a variety of industries and business functions.

We are looking for an "all-rounder" who thrives in a fast-paced environment, enjoys solving

problems, and can confidently switch between strategic planning and hands-on execution.

The ideal candidate is highly organized, tech-savvy, proactive, and comfortable leveraging AI

tools such as ChatGPT and Claude to improve efficiency, streamline processes, and support

business growth.

Key Responsibilities

Executive & Operational Support

  • Provide day-to-day support to the executive leadership team.
  • Supporting the owner in his other business adventures outside of ABA business
  • Coordinate operational projects and ensure timely completion of key initiatives.
  • nAssist in developing and improving internal systems, workflows, and processes.
  • Manage calendars, meetings, action items, and follow-ups.
  • Prepare reports, presentations, and operational documentation.
  • Identify opportunities to improve efficiency across the business.

Sales Operations

  • Support the end-to-end sales process from lead management through onboarding.
  • Maintain CRM records and ensure data accuracy.
  • Track sales performance, pipeline activity, and reporting metrics.
  • Follow up with prospective clients and assist with sales administration.
  • Coordinate communication between internal teams and prospective clients.

Marketing Support

  • Assist with the execution of marketing campaigns and business development initiatives.
  • Coordinate content, email campaigns, and marketing materials.
  • Conduct market and competitor research.
  • Support social media and brand-related projects where required.
  • Assist with reporting on marketing performance.

Administration & Business Support

  • Manage business documentation and maintain organized digital filing systems.
  • Coordinate meetings, travel, and executive schedules when required.
  • Prepare spreadsheets, trackers, and operational reports.
  • Assist with document preparation, proofreading, and presentations.
  • Support cross-functional teams with administrative requirements.

AI & Technology

  • Utilize AI platforms including ChatGPT and Claude to improve workflows, create

documentation, generate content, and automate routine tasks.

  • Identify opportunities to implement AI solutions that increase productivity.
  • Stay up to date with emerging AI tools and recommend improvements to business operations.

Requirements

  • Minimum of 3 years' experience in an Executive Assistant, Operations, Project Coordination, Business Support, or similar role.
  • Proven experience supporting business operations and executive leadership.
  • Experience managing the end-to-end sales process or sales operations.
  • Exposure to marketing coordination or business development activities.
  • Strong proficiency in Microsoft Office Suite and Google Workspace.
  • Experience using AI tools such as ChatGPT, Claude, or similar productivity platforms.
  • Excellent written and verbal English communication skills.
  • Outstanding organizational and time management skills.
  • Strong problem-solving abilities with exceptional attention to detail.
  • Ability to work independently and manage multiple priorities in a remote environment.Preferred

Qualifications

  • Experience supporting a healthcare, ABA, or professional services business.
  • Experience with CRM platforms such as HubSpot, Salesforce, or similar.
  • Familiarity with project management tools such as ClickUp, Monday.com, Asana, or Trello.
  • Experience improving business processes or implementing operational efficiencies.
  • Experience creating reports, dashboards, and business documentation.
