Roles and Responsibility of an Executive Secretary
Guest & VIP Coordination:
Welcome and assist guests and visitors on behalf of the Cluster General Manager.
Handle inquiries in the Cluster General Manager’s absence.
Arrange VIP room and restaurant reservations when required.
Organize travel, accommodation, and itineraries for domestic and international business trips for Cluster General Manager.
Plan and coordinate key events, such as board meetings, client events, and internal team activities.
Liaise with clients, partners, and stakeholders to ensure smooth event execution.
Operational Support & Compliance:
Track and manage official hotel-related documents, including reports and guest feedback.
Assist in compiling guest data to support service quality improvement initiatives.
Order and maintain office supplies for the Executive Office.
Adhere to hotel policies, security protocols, and emergency procedures.
Task Coordination & Confidentiality:
Support the Cluster General Manager with special projects, deadlines, and ad hoc tasks as required.
Maintain a high level of discretion and confidentiality in all business dealings.
Demonstrate professionalism, adaptability, and a strong work ethic in all interactions.
Assist with ongoing projects by providing administrative support, tracking deadlines, and ensuring timely completion.
Conduct research and compile reports, presentations, and briefings to support strategic decision-making.
Gather industry insights and market trends to assist in planning and business operations as required.
