Our focus customers in the short term will be Saudi Aramco and its Affiliates. In the long term, all the industrial sectors within Saudi Arabia aim to reach the MENA region.

Objective:

The Executive Secretary will organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency, and safety. The Executive Secretary is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision, and task delegation.

The successful Executive Secretary is an energetic professional who doesn’t mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people.

General Responsibilities:

Oversees general office operations and gives reports to the management.

Coordinates appointments and schedules and manages staff calendars.

Manages filing systems and office supplies, maintains IT infrastructure, and keeps inventory of orders.

Oversees staff interactions and responds to queries on office management issues.

Arrange travel processes, including flight, airport pickup, hotel booking, and car rentals for company executives and visiting delegates.

Prepare a work schedule and control the tasks of the office driver/messenger.

Compile, assimilate, and prepare confidential and sensitive documents.

Read and screen incoming mail and correspondence and forward materials to the concerned manager or department promptly and accurately.

Compose letters and memos in response to incoming mail or calls as per management’s direction.

Operate computers to produce various documents, charts, and graphs in final form.

Attend assigned training sessions and maintain records of all important correspondences.

Set an example to other staff by demonstrating good professional conduct.

Perform any other duties outside the normal routine but within the scope of work.

Qualifications:

Bachelor’s degree in Business Administration, communications, or a related field.

3-6 years of work experience in an administrative/office management role.

Must have exceptional attention to detail.

Strong organizational and time management skills and ability to prioritize tasks.

Must be a self-starter and driven.

Excellent communication and interpersonal skills (English and Arabic).

Strong problem-solving skills and analytical abilities.

Must be proficient with Microsoft Office and Google products.
