An Addison Group client is looking for an Executive Administrative Assistant to join their team on a contrat basis!

Essential Duties and Responsibilities

Types correspondence, minutes, reports, and proposals for the C-Suite.

Provides telephone coverage, opens and distributes incoming mail, copies documents, maintains and updates filing system.

Monitors office supplies, prepares Requisition s to Purchasing, Requisition s to Accounting, Petty Cash, and Travel Expense Reports.

Schedules meetings for the Foundation, Hospital and Continuum Board and the Board’s Committees and other meetings as directed by the COO and/or Board Chairman.

Preparation for meetings includes: confirming meeting site, ordering lunch, preparing agenda, transcribing minutes, assembling reports, collating for mailing.

Attends meetings, takes and transcribes minutes. Maintains minute books along with related files.

Updates and maintains Board mailing lists, committee lists and other Board records and distributes as appropriate.

Makes arrangements for the Annual Board of Directors Meeting.

Assists the COO and other Administrative staff whenever work-load demands; i.e., telephone coverage, typing, proofreading, etc.

Maintains cooperative, courteous andrespectfuldemeanor in all interactions with patients, visitors, and other employees.

Other duties as assigned

Assisting patients, family members and other customers with concern andempathy.

Respectpatient confidentiality and privacy.

Communicate with all customers in arespectfuland courteous manner.

Responsible for completing training in topics identified as part of the performance evaluation process, and for training mandated for the department which are listed below:

Emergency Preparedness/Right-to-Know;
Compliance Training;
Incident Reporting;
Infection Control;
Non-violent Crisis Intervention Refresher (if applicable)
