Director and Assistant Directorswithinthe Council ,supportingservicedelivery,processimprovementsandchange Toprovideefficientandeffectiveadministrationservicesasdirectedandmaintainmanagementinformationsystemsrelatingtothedirectorateandservicesbeingsupportedunderthestrictestofconfidence. Toprovideahighlyeffective,efficient,andconfidentialadministrativesupportservicetotherelevant

Director and Assistant Director including ,correspondence,reports,mail,diaries,appointmentsandminutetaking. 2

Toadministerarangeofmanagementinformationsystems,including correspondence,data protection,trainingdevelopmentrecords,complaints,creditcardspend,andareasofbudgetsasdirected. 3

Toliaiseandconsultwith Senior Managers ,Service Managers,Elected Membersandstaffwithinteamstoensureservice-related queries/issuesaredealtwithinanefficientandeffectivemanner 4

Tobeafirstpointofcontactinrelationtoqueriesfrom Elected Members ,Chief Operating Officer ,Directors,seniorofficersandotherstoensurethatthesequeriesaredealtwitheffectivelyandinaprofessionalmanner. 5

Torespondtotelephone,writtenandelectronicallydeliveredqueries,co-ordinatingpatchproblemsandcomplaints,andensuringthattheappropriateinformationandadviceisprovided. 6

Tosupporttheteam(s)/service(s) assignedtowiththeutmostprofessionalismandpositivity,withawillingnesstolearnnewprocessesandsystems 7

Toensuretheaccuratemaintenanceofdesignatedmanagementinformationandcontrolsystems,includingtheprocessingofinformationrelatingtohealthandsafetyandtimesheets. 8

Toliaisewithexternalagencies 9

When required,toprocesspurchaseorders/invoices/rechargespromptlyandinaccordancewithany

Councilcontractualrequirements. 10

Tocollatedataasdirected,ensuringtheaccurateinputandmaintenanceofdesignatedmanagementinformationsystems 11

Toensurethatcustomercarestandardsaremaintainedtothehighestlevelandcomplaintsandgrievancesaredealtwithinacourteousandsympatheticway. 12

Toensurealtargetsandmilestonesarekeptuptodateontherelevant Performance Management System . 13

Toprovidewrittenreportsandstatisticalinformationinanagreedformat 14

Toorganiseandcoordinateinternalandexternalmeetings,includingbookingfacilities,refreshments/hospitality,assistingadminsupporttociviceventsandpreparingagendasandanyadditionalsupportinginformation. 15

Toassistinworkingtowardsserviceperformanceindicatorsasstatedwithintheserviceperformanceplan 16

Torecordreceiptofincomingmail,and prepare,monitorandfollowupresponses,includingcorrespondencebetweenthe
